Tailor Your Tone / Page 5.1 Introduction INTRODUCTION In Week 4, you began exploring how to create effective written communication by thinking about purpose and audience. But there are two additiona l components that you need to consider whenever you write a message. This week, you will learn about structure and tone and how they affect your writing. In written communication, structure is the way your message— its information and its ideas—is organized and ordered. (One common example of structure is a simple numbered list.) Structure is the best way for you to signal to your reader where your writing is going and how you mean to get there. Your choice of structure will also help you determine what to cut from your writing and what needs to be included. By contrast, tone helps the audience understand how they should read the message. For example, is it meant to be funny or serious? As you’ve learned, great written communication is clear and concise and is created with four components in mind: purpose, audience, tone, and structure. In this chapter, you will explore the last two components, tone and structure, before exploring the importance of editing in the writing process. Understanding why structure and tone are crucial to communication will enable you to write convincingly and effectively throughout your career.
