Unit 4 Assignment 1 - Explore the role of an event’s Organiser

What is an event and the role of an Events Organiser?

An event is anything that takes place, planned and organised for the public or for a specific
special occasion. For example a public event that people attend annually is Reading music
festival. A few other examples of events that are organised are fairs, conferences, meetings
and promotional launches for products.


An event organiser’s role is to be responsible for making sure that the Reading event is run
as smoothly and efficiently as possible. As the key planner and coordinator of the Reading
festival, they oversee and help set up, plan and organise the event accordingly. As they are
responsible for the planning and the concept of how the event will work and run,
responsible for co-ordinating what items are going in what specific places and areas. As the
main aim for the event organiser is to ensure that the event is delivered on time within
budget and success. An event organiser has to ensure that as well as delivering an effective
plan, they have alternate solutions in the event of an issue arising, dealing with that issue in
a calm and controlled manner is the difference between an event planner and a great event
planner. The event organiser plans the event from the very start as they think of the
concept of the event to collating feedback from various people post event completion.



Different types of event.

On looking at the Reading festival, which is organised every June/July, it consists of various
stages where artists perform their music for the attendees/ public. The two main stages of
Reading are called ‘Main stage East’ and the other ‘Main stage West’ where the headliners
perform their music. All the stages host a variety of artists all across the day from 11am-
11pm. On site there is a range of facilities and services such as medical centres for any
medical emergencies, designated campervans, caravans for the artists to stay in tents and
toilets dotted all throughout the festival. Reading also has a fun fair packed with lots of rides
and a vast array of food vans for the public to buy from and enjoy. The advantages of
Reading festival is that it provides a wide range of services and entertainment that makes
sure that the festival is successful as the event’s organiser and the event does not want their
attendees to get bored. So therefore a factor in order to have a successful and thriving

, event is to have plenty of facilities and to provide a range of entertainment for the people
attending the festival to allow them to make the most of the event and their visit and to
ensure that they return in the near future.



What tasks are required with setting up an event?

The tasks required to set up an event are very similar for all events but for a festival the
tasks required are to be able to establish goals and objectives so that the event organiser
knows what needs to be done and by what time. Some goals could be before the event
starts for example to get a certain amount of sales or after the event finishes for instance to
make a certain profit overall. Another task required is to be able to put together a budget to
make sure that the organiser knows how much their client is willing to spend and to see
whether they are going over or under budget and tell them accordingly and help them out if
necessary. Another task required is to pick a theme as the client (Reading) might be
celebrating an anniversary or another celebratory occasion and the event organiser would
have to take that into consideration and hire specific things to fit with the theme. For
instance certain dining and cuisine areas. A further task required of the event organiser
would be to search for adequate sponsors, as Reading might want to be partnered with
certain other companies to expand exposure to their event. So the event organiser would
need to find adequate sponsors at a reasonable price that fits Reading’s budget.



What are the skills, Attributes required of a good event organiser?
As an events organiser, you must have effective communication which defines having a
good communication of verbal speech or other methods of relaying information that get the
point across. For example this will include when they talk clearly and in simple terms to
allow the other person communicating with them to be able to understand quickly and
efficiently.

Another skill required is that they must be organised. As this is the most important part of
event planning as if not the event will be hindered and many problems will arise. To be
organised you must manage your time efficiently and prioritise your work to specific
deadlines and the amount of work given.

Being able to effectively problem solve is also a main requirement, as solving problems is
one of the skills that an events organiser will need. Sometimes this will involve coming up
