Unit 4 Assignment 2 – Managing an event
Investigating various types of events to find out common success factors
In this assignment I will introduce four successful events, which have done, extremely well
in popularity, revenue and growth and therefore I will introduce my own plan for my event.
I will be talking about the key factors, research, resources and the risk assessments and
other law-abiding documents for my own chosen event.
These are four types of events two small and two large and how they were successful.
An example of one large event that was successful was the London 2012 Olympics as there
were millions of pounds spent on redeveloping London to make it up to standard to host the
Olympics and make it look appealing for visitors outside of the UK.
The event of the Olympics was successful as the marketing, finance, catering, attendees,
logistics, management, music and lighting as well as the venues themselves all contributed
in making sure everything was ran as smoothly as possible and making London look like the
best hosts. As the marketing team promoted the 2012 Olympics with various brands such as
Coca-Cola and BMW therefore bringing more attention to the Olympics and intern London
and the event itself. Also the catering staff had been told how many attendees were going
so that they could prepare food for them to buy which increased their revenue and boosted
the economy further as a result. Therefore these various departments worked in unison to
create a successful event to not only bring more eyes to the Olympics but to boost the
revenue made and the economy as a whole in the UK.
Another example of a large event that was successful was Glastonbury as it’s the largest
music and performing arts festival in the world. As they plan ahead for any problems that
may arise and spend months carefully thinking about what they can do to bring the greatest
number of eyes and intern revenue to the festival.
The yearly event of Glastonbury is successful as the event planners plan everything to the
dot as they recognise that averagely 150,000 people go each year and plan accordingly. As

,they speak with logistics to see whether they can have certain stages for performers as well
as speaking with catering who serves food for customers. And the biggest attraction to
Glastonbury who brings in the customers are the acts and therefore the planner has to
carefully think about who should perform and where and therefore due to the name they
can sell enough tickets due to the act’s popularity which intern makes Glastonbury revenue
which leads to a success as they can continue making more and more revenue yearly.
An example of a small event that was successful was a Heck trade show;as the event was
successful as it enabled not only the business who’s hosting to promote their brand and
products but also enabled other businesses to promote their brands. This was successful as
itwas run well by the event planner by liaising with the logistical managers, the finance
department as well as taking into consideration the agenda and the schedule of everyone
included. It was also successful as everyone included knew how long they had to promote
their brand, how much it will cost etc. As a result everything was explained by the event
planner and thought out taking into consideration any problems that may arise for instance
if the weather was bad and the trade show was outside then it would be a problem.
Leading to Heck gaining popularity and further awareness about their products; as a result
they also gained a mutual relationship with other companies and brands, which could help
them in the future.
Another example of a small event that was successful was a Future planning business
workshop; as the event was successful as the event was planned effectively. As the
employees knew what time they had to be at the specific board room, what day and time,
who they were going to work with and whether there was food and drink onsite. As the
event planner had explained what was happening beforehand and explained to the various
departments such as Finance to see whether the business could afford the event. The event
planner had also spoken to the cateringstaff so that the event could provide food and
drink.Therefore the event was successful, as Future Planning had resolved any problems
that were spoken about and had come up with structured plans on how to innovate their
business as a whole. Therefore the event was a success as it pulled the team members of

, Future Planning closer together and also made sure that they worked in a team and as a
result they made the most amount of revenue possible.
As a resultby looking at two large events and two smaller events there are various similar
things that have occurred in all the events, which have caused the business, and the event
to be successful due to the event planners work. Some examples include communicating,
trust and liaising with various different parties. Therefore these skills and techniques are
vital to make the event a success for the business and the event planner.
Some examples of the common success factors include the event planners’ choice of
location/venue, as it is important for the success of the event. For instance the Olympics
was around London, the work shop was in the businesses’ establishment, Glastonbury was
on a large amount of land and finally the trade show was outside on a smaller amount of
land. Therefore it can determine the success of the event as a whole as if the location isn’t
right for the event then it can go wrong; as certain places fit certain events better. This
shows that in the examples the event planner successfully thought out and planned the
location for the events, which then led to the success of the events.
Another example is the event planners’ communication as it is very important for the
success of the event. As communication is key for a successful event as if done incorrectly
then people will be confused and might misunderstand certain choices or thinking for the
event. Therefore it can be detrimental if done badly so communication is key from the event
planner to whomever it may concern so that everyone involved in the event is on the same
page. Showing that in the examples the event planner successfully communicated with the
relevant people/parties and as a result the event was successful and helped the businesses
in various ways.
