Subject: Forward-Thinking Idea Selection

Hi Coach Monahan,

The LIFT (Leaders in Innovation & Forward-Thinking) committee requests one hour of your
time for a follow-up to our quarterly Leaders in Innovation & Forward-Thinking committee
call. As discussed during the call, the committee actively selects a department quarterly
for open communication with a senior department member. The committee’s objective is
to receive coaching, improve knowledge, share what we have learned with our respective
team members, and collaborate on innovation and improvement ideas. After evaluating
team feedback and recommendations discussed during our call with Human Resources,
we selected a forward-thinking idea related to the company’s human resources objectives.
This idea received a majority vote due to potentially having the largest positive impact on
every company employee.

The team has several options available to discuss this idea with human resources.

• Monday, December 16, 2024, at 9 a.m. Eastern Time
• Tuesday, December 17, 2024, 10 a.m. Eastern Time
• Friday, December 21, 2024, at 2 p.m. Eastern Time

Please select the best date and time for a virtual meeting with the committee members.

On behalf of the committee, thank you for your time. We look forward to our next
discussion.

Best Regards,

The first principle I used was to address my opening and email without using gender.
Instead of Ms. Mrs. Madam, Mr. or Sir I used “Coach” in my opening. Pronouns were not
used in the text such as she/her/hers and he/him/his. Second, I avoided acronyms.
Although the group is known as the “LIFT (Leaders in Innovation & Forward-Thinking)
committee”, I referenced the full title, added the acronym in parentheses to define the
acronym but I did not continue to use it in the text. Third, I spelled “Eastern Time” for the
follow up meeting options. Eastern Time clearly helps everyone to know the correct time
