Introduction to ERP Jonathan Arts - 2025/2026

1) Introduction
What is a business process
• Different processes
• To make a product
• To add value
Extra: The goal of a company is to use processes to make a product that add
value to the used resources.
Its needs to have so different processes (multiple steps, witch multiple
connection and ineterctions) + het doel is to make a product or services. And
always adding value. (cutting, Koken,…)
A closer look; physical process

Extra: There is a physical flow (of goods) (dit bij de bovenste icoontjes)
Receipt costumer, leveringfactur, loon kok, aankoopdocument en opdrachtbon.
The paper trail allows me to refraise the fysical process.
Because
its makes the last trail easyer, their is always the money side of things.
documenten. Physical process and the documents
A closer look; documents
Extra: There is a paper trail (of documents)

A closer look; finance
Extra: There is a financial trace in the
form of money and accounting entries
(assets v liabilities)

1

2) Business Processes
Azure Interior; the furniture company
In this class we will use the case of a furniture
company.

Extra: A lot of process are happing in the back while only the Sales & Distribution
is seen by customers.
Starting witch the different between a department and process. A department for
businesses is a way to organise.
So the departments
are ways of organizing where the processes are a more general overview of 1
company. The 3 processes: Sales & distribution (SD), material management (MM),
production planning (PP). Dan heb je the Front Office and Back Office (links en
The sales en distribution is the only process
that have impact on the customer. De gele zaken zijn departments: finance, HR,
logistics
Azure Interior; Sales
The sales department
Extra: Our sales department is in charge of contacting the client and the majority
of the sales process (not all of it though!!)
Goal = to sell

2

,The sales department  Pre-sales: what does our customer want = selection
komen)

Salesorder: mutual commitment or transaction

The warehouse (WH) <- Check availability in warehouse
(WH)

Extra: The sales department first figures out what our customer wants,
proposes a quote if the customer agrees this becomes a salesorder of which we
check the availability in the warehouse (also often done during the sales process
After the discussion  there is a sales order which is mutual
commitment (‘it’s a marage, je bent verbonden) dus bv moet je 300
bureau s leveren aan Partyvelde tegen 12 mei. Commitiment (you can’t
go back) Sales people are hated in the company (als ze iets beloven
moet de rest zich eraan houden). Wharehouse moet dan checken als we
alles hebben,… anders gaan bureau s gaan bijmaken.

 Onderste oranje vierkant: 1: presale: whate does our customer want?
 Bovenste vierkant: 2: saleorder (SO)
 Rechtse vierkant: 3: product in wharehouse? (ja of neen)
The warehouse (WH): Product in stock Or Product not in stock
Extra: Two option either in stock or not

Azure Interior; Sales
Logistics  Product in stock  Pick & pack the goods  Ship the goods  The
sales department
Extra: If the goods are in stock the system will allow us to pick – pack and ship
the goods to the customer who signs off on delivery. This again gets followed up
by the salesteam.
As prove that they have
done. That somebody have received the good.

3

midden vierkant)
 4: pick and pack
 5: ship the goods (soms als zalando iets levert moet je iets tekenen,
waarom is dat 
Logistics  product in stock (ikea, heel veel orde is noodzakelijk)  pick & pack
the goods  ship the goods  the sales department

Azure Interior; Sales
The sales department  Send invoice  The finance department  Follow-
up and receive payment
Extra: Afterwards the salesteam sends the invoice (accounting can also be
tasked to do this) and accounting does the follow-up
If Artevelde didn’t pay the finance department will take action (reminder, the first
one send by the sales department, the others by the finance department)

Invoice (and payment) vierkantje
Extra: We now try to match the ordered goods to the delivered goods and the
invoice (not the payment!)
in!
3-way match: 3 way match is the idee that We are going to match 3
things. First of all we are going to match our sales order (marage contract, the
agreement, commitment, documentation), receipt ( the paper work, singning
off) and finally the invoice (factuur) (we are agreeing to something, we have
delivered now you have to pay us  you have to tell them to pay (correctly).

🔹 3 sub-processes
The 3 steps in the process:
1. Documentation (the documents, the invoice,… the bill, the sales order)
2. Physical process (Logistics / Warehouse, the goods that has been
delivered)
