Storing and communication scientific information in a work place
laboratory:
There is a lot of scientific information in a work place laboratory which is
recorded and processed to meet the needs of the customer, and to ensure
traceability. Within any organisation, it is necessary that there is traceability,
whether the team is large or small, the team must be well structured and each
member will have to take responsibility for their work, and follow the specific
protocol for the laboratory.
The work place must have secure logging in technology, which must be changed
regularly, as they have access to various sets of important data. Signatures are
important as they enable traceability for who has handled or worked with
scientific information.
It is important that any records are kept organised. Where these records are kept
is heavily dependent on what the record is. For example, records such as
samples must be booked in, and have a unique ID number or code, as this
means that it will be easier to trace the sample, and have a record of who has
handled the sample. Results sheets may be kept either on a sheet, on a
computer, or maybe in a notebook. It is important that results are only shared
with people who need the data whether that be with specific people in external
scientific work places, or specific people within the organisation.
Reports and analysis or certificates of analysis must be kept either on paper or
electronically.
Useful scientific information is obtained from large data sets by the use of LIMS
(laboratory information management systems). LIMS is a system which allows
laboratories to input data and store data. Essentially, LIMS is like a file cabinet,
but online and not in paper form. This can have both advantages and
disadvantages. Keeping large sets of scientific data online, electronically rather
than in files and on paper can make it easier for the work place to keep track of
important data. In science laboratory work places, health and safety files,
scientific data and training records must be all organised and kept track of.
Having this online can make it easier for any one working for the company to
find information quickly, rather than having to search through different files and
paperwork to find documents that they need. Also, using LIMS makes things
easier for the company when it comes to gaining licences and certificates that
they need, and furthermore evidencing these licences and certificates to anyone
that requests it.
Scientific work places will also benefit from using LIMS to store their data,
because they must keep track of a lot of customer details, and product details,
as well as manufacturing data and warehouse data. Having this data online
means that it can be kept up-to-date and utilised to create spreadsheets or data
bases which makes operations run smoothly.
Scientific companies can benefit from using LIMS, as they must also keep track
of results and samples. Having these on an online system can make it much
easier to compare with other results and samples. It can also make it easier
when sharing this information quickly and securely to people that need it.
