Exploring the role of an event manager

A business event is an activity hosted by an event organiser/manager which can be private, public or
a charity-based event. The main purpose for managing an event is to incorporate the business logic
and values and communicate it towards their internal and external stakeholders. These messages
may include information that can promote the business product, providing entertainment or
informing their stakeholders about their business operations that can be beneficial to society.

An example of a business event was hosted by business called Adidas:

Adidas launched a football-related collective community event with the intention of enhancing the
standard of living in a community. On October 5, 2020, Adidas officially announced the introduction
of the football collective, a brand-new grassroots movement made up of both the general public and
football club personnel. In London, Paris, Berlin, Tokyo, New York, etc., this event began.

This movement aims to promote local businesses that are linked to sports activities and bring
communities together in the notion that football may bring about beneficial changes. To join the
movement, Adidas worked with local trailblazers to expand projects into towns and cities.

An example of a social event was during the 14th of November 2021 hosted by the British Army:

The British army organised a social event with the goal of inspiring local communities to support
combat veterans and people who are a part of the British armed forces community in their
neighbourhood. This raises awareness for people who have defended their country's values and can
also be accomplished by holding a Remembrance Day to honour those who died while defending
their nation during World Wars I, II, and the Falklands War. This causes people to remember those
who fought in the First World War so that their efforts in defending their nation's interests and
beliefs while also performing humanitarian deeds might be recognised.

Risk assessment is the process of identifying hazards that currently exist or may occur in the

potential risks can allow employees with who are qualified for ensuring the safety of the business
stakeholders and minimize the risk before it becomes too serious to do anything about. It also
avoids need for employing firefighter on standby, which is usually an expensive and demanding
process to solve most problems. Managing risks before they happen will result in less sensational
headlines, but a smoother, more efficient and cost-effective way of running your event.

For an event manager to successfully abide to the health and safety regulation there are 3 steps they
must take into consideration before hosting an event which is to:

1. Identify what could be a health and safety hazard
2. Assess the risks (Review and evaluate the potential risks associated to that hazard)
3. Control the risks (Find a solution that can reduce or prevent the identified risk/hazard)
4. Record your findings (Keep a record of all the list of hazards so you can review them and go
over the same procedure when hosting another event)
5. Review the controls (Evaluate if the solution is effective against reducing the risk from
occurring)

The consequences for failing to abide to the health and safety act can be extensive which can
increase the possibility of accidents and individuals being injured. this can cause the event
manager/organiser to be prosecuted for failing to ensure the health and safety of their stakeholders,
which can cause them to suffer irreparable damage to their reputation, which will prevent them
from organizing other exhibitions, conferences and fairs in the future.

Security procedure




Security procedures are detailed, step-by-step instructions for implementing, deploying, or
implementing the security controls listed in your organization's security policy. Security procedures
are an important part of an organization's overall information security program. With a defined
security procedure, the event manager and other member of staff can assess the situation and
decide which outcome should they take to resolve the situation peacefully and as soon as possible,
and they can use it to ensure the safety of their stakeholders (employees and target audience) but
without accompanying security measures, the actual implementation or consistent implementation
of security practices will suffer.

Providing secure resources and equipment: To ensure the safety and health of the employees
operating the equipment's owned by the business or used during the event, including machinery and
electronic devices, must be properly maintained. In order to lower the chance of an employee being
hurt or even killed, a health and safety inspector will create a report regarding any defective
equipment or gadgets that need to be rectified before being used by an employee.

The overall purpose of this is to offer employees a comfortable working environment that is safe and
suitable to work in and establish occupational health and safety procedures to prevent accidents and
injuries from ever occurring. This covers things like fire alarms, earthquakes, powerful winds,
poisonous materials, etc. To make workers comfortable while working, you must invest in lighting,
heating, and ventilation equipment while setting up a workplace. You must always allow employees
access to sanitary facilities so they may treat any injuries that may occur.

How can the health and safety act affect an event:

• Increase productivity and team morale: A safer workplace can reduce personnel turnover.
• Risks are reduced because of this action since accidents are less likely to happen at work,
which can save a company from losing employees and fines for making them work in
unsanitary conditions.
• Due to the amount of safety measures, it has compared to other firms with a negative
reputation due to workplace accidents, you may avoid reputational harm and entice more
employees to work in your organisation.
