Draft Presentation: Needs Analysis Planning for HRIS Implementation at
Ultimate ScrubsHub
Part 1: Needs Analysis Planning
The needs analysis planning stage is the first and most critical phase in
implementing an HRIS. It ensures that the system aligns with the organisation’s
strategic and operational HR goals. This phase involves four major activities:
1. Organising the Needs Analysis Team
A multidisciplinary team is assembled, including HR professionals, IT staff,
current system users, and potentially an external consultant. A senior-level HRIS
analyst typically leads the process, supported by representatives from relevant
functional areas like payroll and staffing.
2. Determining Management’s Role.
Upper management must support and sponsor the project. Their involvement
ensures buy-in from all departments, helps resolve issues, and sets the direction
for the HRIS implementation.
3. Defining the Goals
Clear and specific goals are outlined for the needs analysis. These may include
improving HR efficiency, reducing manual tasks, enhancing data accuracy, or
supporting recruitment processes. Goals should follow the SMART framework
(Specific, Measurable, Attainable, Relevant, and Time-bound).
4. Determining Tools and Techniques to Be Use
Information-gathering methods such as interviews, surveys, document reviews,
and workflow analyses are selected. These tools must enable thorough
investigation and prioritisation of system needs.
Part 2: Key Role Players
Using Table 3.1, here are four key stakeholders for each activity during the
needs analysis planning phase:
