M1) Compare the purpose of the different documents used in the
selection and recruitment process of a given organisation.
Type of document Purpose
Job advert The main purpose of job adverts is to attract suitable candidates for the position. An
effective advertisement would reduce the time that businesses spend interviewing
unsuitable candidates by giving enough details about the job role and the
requirements. Other purposes of job adverts are to advertise the job and to give
everyone an opportunity to apply for the job. Also it would allow help the business to
reach different candidates and even more candidates because Tesco’s adverts would be
everywhere.
Tesco advertises jobs in different methods such as online (indeed website),
newspapers, shop windows and noticeboard displays in their offices.
Person specification Companies use person specification to inform the applicants about the requirements of
the position that they are applying for. These requirements are qualifications, skills,
experiences and knowledge and also other attributes that the candidate must possess
to perform the duties.
Tesco’s person specification would help the applicants to know what qualification/
experiences and skills is essential or desirable in that job that they will be applying for
and whether they meet the requirement of the company or not.

Application form The purpose of using job application form in recruitment process is that it would give
the employers information about whether the candidate is suitable and if she/he
qualifies for an interview. It would help the employers to get to know the applicants
more and better. Another purpose of using job application form is that the applicants
can express their interest in that position/role and they may share information about
their qualifications and previous experiences.
Tesco may use job application forms to help them chose the best applicant and ask
them to attend for an interview if their application is successful. Some information that
Tesco may ask in an application form is the previous employer’s name and telephone
number of the applicant this would help them to ask further about the applicant from
their previous employer, asking further about the applicant would help them to gather
more info about her/him and also it would help them to understand if the applicant
had been successful in their previous job or not. Also Tesco may ask questions such as
the qualification that the candidate has, such as GCSE’s and Higher or Nationals. This
would help Tesco to judge whether the applicant has the qualifications that are
essential for a specific job role or not. For example if someone is applying for Senior
Manager position, this section would help Tesco to understand whether the applicant
has enough knowledge and qualifications that are related to that role to make them the

Job description The purpose of job description is to make sure that the company is hiring right people
for a specific role. Sometimes people may not be suitable for a role in the business and
this would mean that they don’t do their job the best. Job descriptions would be useful
for these people as they are not suitable for the job, this would help them to fit in the
best position in the company. Job description can prevent hiring wrong people as it
would fully give the detail about the role to the applicant before they apply for a job.
Tesco’s job description mentions full details about the job position and the company
itself which allows applicants to know what duties would be involved and whether they
are a right person for that special position.

CV The purpose of the CV is to gather all the experiences, achievements and qualification

, that an individual has and display them for the future employer. These info has to be in
a well presented format so that it would encourage an employer to choose the
candidate.
So the main purpose of a CV is to show all the qualities and experiences that the
candidate has that makes him or her stand out from any other individuals. A CV would
inform the employer about all the qualities that the candidate has.

Tesco may ask candidates to hand in their CV when applying for a job, this would help
Tesco to see why they should offer them a job and why they are a suitable candidate.
CV would help Tesco to see what experiences or skills that the candidate has and if
their experiences would help them in their new role at Tesco.
Similarities:
Job description is similar to personal specification because it gives the same information but in more
detailed. They both provide information about the skills, qualifications and experiences the
candidate should have to get hired by the company and to do the job very well.

Job description and person specification are similar because they both have the same information
included. However, the person specification tells the candidate whether they need some skills before
the job or they can get trained after they get hired to do the job properly.

Job adverts and job descriptions are similar because they both have some related information about
the vacancy. However, the job description provides more details about the vacancy than job adverts.

Person specification is similar to the job advert because they both have similar information within
them. For example they have what qualifications the employer is looking for and the skills and
experiences and also the type of job and employment that is available.

Job application forms and CV’s can be similar as they both can make the organisation that is hiring
people to understand more about the candidates as both of this documents would help them to get
to know the candidates better and to understand why the candidate should be given the job because
the candidate had explained everything such as previous employments, skills and why they are
suitable for this job in both of those documents.

Differences:
Job adverts and person specifications are different because the job advert would tell people that
vacancy is available in a business and the person specification tells the candidates what skills or
qualifications they need to have before becoming an employment within the company.

Job description is different to CV because in the CV the candidate puts all their achievements where
as in job description the employer puts the skills required for the job.

Job adverts and job description are different and they each has different purpose in hiring process.
Job description mentions what the employee must do daily in the job and how success will be
measured, but a job advert mentions why a qualified individual must apply for the job or to make
them aware that a vacancy is available at an organisation.

Job description states all the job title, tasks and responsibilities about the role but the person
specification lists all the qualifications, skills and abilities that individual must have to get hired. Job
description describes the job whereas the person specification describes job holders. Job description
