Unit 2 P1

Describe the recruitment documentation used in a selected organisation.

The purpose of this task is to discuss how the management of the following resources can impact a
business’s performance:

 Range of human
 Physical
 Technological
 Financial Resources

I am working within the ‘resource and operations’ department for Villiers (UK based school) and I
have been asked to outline how a business should manage its resources. I have also been asked to
compile a report which will be used by the management to help understand how our business
operates on a day to day basis.

I will be looking to recruit a Design and Technology Technician for Villiers High School. In order to
recruit the correct type of employee, applicants must go through a recruitment process that will
eliminate certain candidates and hire those who are capable to work within the school. Specific
documents are provided by the employee or employer; these documents have different purposes
which will be discussed below.

 Job Description; outlines the day to day responsibilities of the role they have been offered.
Also gives details of the pay, hours and holidays attached to the role. A job description is
much more detailed than a job advertisement.
 Person Specification; Usually a table that outlines the skills that a job candidate must have
in order to complete the tasks of a position offered by a company. A person specification
can consist of the educational requirements, training experience as well as more
personal qualifications that a candidate must possess. It is split into two categories, either
essential qualifications/skills or desirable qualifications/skills.
 Application form; a form that must be completed by all applicants in order to apply officially
for the job advertised. An application form consists of personal questions that are required
to be answered by the candidate.
 Letter of application; applying for a job in the form of a letter that is sent to the employer.
Also known as Cover letter, written by candidates that outlines their qualifications for the
job, it should be well written as it’s the first impression given to the employer.
 CV; abbreviated for curriculum vitae: a short written description of your education,
qualifications, previous jobs, and sometimes also your personal interests, that you send to
an employer when you are applying for a job.

Villiers would use a job description when looking to recruit a new member of staff as a job
description has many different items of information such as Title of position or Qualifications
required. Using a job description is good for Villiers as they are likely to attract the right staff for the
right positions within the business, specific candidates that feel they match the job description
would apply. A job description also tells the candidate about the job and would apply if he/she
appeals to it. A person specification is important to the candidate as they need to know if they can
match the employer’s essential requirements, it acts as a barrier and saves the employer’s time
when selecting candidates. An application form is only useful to the employer (Villiers) as it allows
them to contact the candidates as well as learn more about them, for e.g. medical history,
qualifications and also other information. Specific unique questions can be asked to test the
