In this assignment I will be identifying analysing and evaluating the key skills needed by an
event organiser as well as showing how they can put said skills into practice to deliver an
event effectively and efficiently.

Event organiser
An event organiser is a person who plans organises and executes an event in the most
efficient and cost effect manner. Their job will include evaluating a plausible plan for the
event, find a cost-effective way to carry it out, find sponsors and or external companies to
promote and sell products. The organiser will also need to co-ordinate with a finance team if
the event is a supposed to be that of a profitable one, this must be dose so the company can
decide if the event will generate enough revenue to cover projected costs and expenses.
They must also come up with a risk assessment to comply with rules and laws this could be
things such as “Food safety legislation”. The final area an event organiser must cover is the
execution of the actual event, this will require all timings to be meant to allow for a smooth
running and for the event to profitable.

Aspects of event management.
Resource Management- an important aspect of managing an event is that of resource
management. Any person can pull together resource, but a good manager will be able to
use them effectively and keep them on the right track to achieve the goal they are working
towards the target. An example of this would be utilising the available resources such as a
team dedicated to scheduling and giving them the time frame, they can work within, having
this available recourse opens you up- to be able to concentrate on other tasks.


Communication & Interpersonal skills- this skill is important when you are putting on an
event. When running a large event, you may come face to face with different stakeholders
in the event including, local communities, sponsors, government emergency services and
many others. Being able to put yourself across friendly yet professionally means those
involved in the event will look upon you more favourably. Being good at communication is
also key when working running a large team, if your instructions are clear and you have
outlined what you wish to achieve the team will execute their duties to ensure that all
criteria is met. An example of when this may be used is


Time Management- as mentioned previously keeping a tight schedule for the event is
crucial. The event organiser will be responsible for the smooth-running of the event the
event manger will keep the event running on time by assigning sub leaders on the day that
oversee the events on individual aspects, for example someone assigned to overseeing stalls
or someone in charge of media coverage. These sub leaders allow for more control to be
had over the event.

Problem solving- another key aspect is that of problem solving, thinking on your feet and
being able to adapt to any situation that may be thrown at you. A good event organiser will

, have a contingency plan ready in the event of anything going wrong. The events manger will
also be able to adapt to the situation. For example, if on the day of the event an attendee or
supplier have an issue a good events manger will make sure they fully understand the issue
then create a plan and implement said plan in order to solve the issue. Keeping a cool head
thought allows for straight thinking and a quicker outcome.


Negotiating- having good negotiation skills as an event organiser is beneficial as it means
you are able to build better relationships and are able to deliver a better-quality solution.
Being able to negotiate well may also be helpful to get better deals and prices for events
cutting back on costs other companies will see your good negotiation skills as a sign of high-
quality service and will be more inclined to work with you now as well as possibly in the
future.


Planning- planning is an umbrella term that includes many different aspects of the event.
The event manger will have to take many different factors into consideration whilst paling
such as, plausibility cots timing and many more. Before planning even begins the events
manger will have a reason for the event itself weather that be promotion fundraising charity
public recognition etc. when it comes to the skill of planning an event manger will have to
take all aspects into consideration and also find a way to make the event run effectively. For
larger events the manger may have to create different teams with different leaders who can
oversee the different parts of the events. They may also need to liaise with suppliers and
possible sponsors that the company want at the event. There are so many different aspects,
and a good event manger will cover them all effectively and have back-ups in place also.


Monitoring- the monitoring aspect is also vital as it allows the event manger to keep a close
eye on how the planning of the event and the day(s) of the event are going. When the
planning comes together the event manger will need to be there to welcome and co-
ordinate any supplies and or facilities that are being used, they will also be able to identify
when something isn’t as it should be and thus can rectify the issue far quicker.


Evaluating- evaluating can come in many different forms, from evaluating the potential
profitability of an ideal plan to evaluating the success post event. This skill is needed so that
the event’s organiser can reflect on what worked well and what may need improvement.
evaluation can also be done on team members working for the events manger, assessing
them means they can get an idea of who is working well and who needs improvement and
or guidance in order to maximise efficiency.
