Getting Started with a Data Set1. Import the data into Access, remember to tick ‘First Row has Headings’
also do not add a Primary Key.
2. Open the data table in Design View so that you can see all the fields
3. Using paper and pencil, write down the obvious tables you can see,
using any fields ending with ‘ID’
4. Allocate the fields to the tables using the field names as your guide
5. Make sure you write PK by the side of all the main ID fields for each
table
6. Refer to the scenario and the tables, look for the connections that need
to be made
7. Foreign Keys are always the Primary Keys from the parent table
8. Look at the data set and identify which of the ID field does not have any
duplicates. This will be the main table that does not need to have
duplicates removed.
9. If there isn’t a field with all unique IDs that is a clue that you need a
Composite Key.
10.Making the tables and removing the duplicates
a. Use a ‘Make Table’ query to create your first tables – make sure
you RUN the query
b. Copy the STRUCTURE of the first table and name it tbl…
c. Open the copy table and change the ID field to AutoNumber and
make it the primary key
d. Make an Append Query using the first table fields and appending
to the new tbl… - make sure you RUN the query
e. Delete the first table
