Organisational Decision-Making
Introduction

Reports are an important form of professional communication in modern organisations.
They provide a structured way of collecting, organising, analysing and presenting
information to individuals who need reliable evidence to make decisions. Unlike ordinary
forms of communication, a report normally has a clearly defined purpose, follows a
logical structure and presents information in a manner that enables the reader to
understand an issue and, where appropriate, take action. Reports may be prepared for
managers, employees, government institutions, clients, boards of directors, investors
and other stakeholders.

An informational and analytical report combines two important functions. First, it
provides relevant and accurate information about a particular situation, problem, activity
or subject. Second, it analyses that information in order to explain its meaning, identify
relationships, evaluate alternatives and support appropriate conclusions or
recommendations. The purpose of this report is therefore to explain the nature and
importance of informational and analytical reporting, examine the process involved in
preparing such a report, and demonstrate how effective reporting contributes to sound
organisational decision-making.

1. Meaning and Purpose of an Informational Report

An informational report is a report that primarily presents facts, information and findings
about a particular subject without necessarily attempting to persuade the reader to
adopt a particular course of action. Its main purpose is to keep decision-makers

, informed. The information presented should be relevant to the purpose of the report and
should be organised in a manner that makes it easy for the reader to understand.

For example, an organisation may prepare an informational report concerning employee
absenteeism. The report may provide information about the number of employees
absent during a particular period, departments experiencing the highest levels of
absenteeism, the frequency of absenteeism and the changes compared with previous
periods. The report gives management a factual picture of the situation.

Informational reports can therefore assist organisations in monitoring activities,
recording developments, communicating findings and maintaining accountability. They
can also provide a foundation for further investigation and analysis. Accurate
information is particularly important because decisions based on incomplete or
inaccurate information can produce undesirable outcomes.

2. Meaning and Purpose of an Analytical Report

An analytical report goes beyond simply presenting information. It examines information
critically in order to determine what the information means and what conclusions can
reasonably be drawn from it. Analytical reporting is therefore concerned with
interpretation, evaluation and, where required, recommendations.

For instance, an organisation may discover through an informational report that
employee absenteeism has increased significantly. An analytical report would
investigate the reasons for that increase. It might examine factors such as working
conditions, workload, employee morale, management practices, transportation
difficulties or health-related concerns. The report could then evaluate the evidence and
determine which factors appear to contribute most significantly to absenteeism.

Analytical reports are particularly valuable to management because they help transform
raw information into useful knowledge. They enable decision-makers to understand not
only what has happened but also why it happened, what consequences may arise and
what alternatives may be available.
