A1. Areas Needing Assessment
An area that needs assessment in the healthcare scenario is the record exchange
process. Without an electronic exchange process, a person must physically
transport charts from each location to the central office for billing and coding.
Also, the patients' records must be personally transferred to each area. This is
going to take a lot of time. Assessing this method and getting an electronic record
transport will provide sufficient evidence for the importance of an electronic
record transport. (Woldemariam,2022)
A2. Staff Concern
Staff members are worried about the interference with the billing and coding
process. They are concerned about billing errors that could occur during the
transition. The staff members are more comfortable and have experience with
paper billing and coding. The staff will need training on how to operate the
electronic record.
A3. Functional Needs of Staff Members
The HIM team needs to use the ROL tools to keep patient records and charts
secure and safe. Before adapting EHR charts had to be physically transferred to
other facilities, and this could cause records to get lost and stolen. The HIM staff
puts extra security on patient information by releasing records to other providers
and facilities, because the records and sent over with an EHR system that can
communicate with their system. This also prevents any information being lost
and stolen. Electronic signatures and forms are used to secure the patients
authorization to disclose their information to other providers. Data analytics is a
dashboard that will monitor staff productivity. Audit logging will keep track of
who accesses the patient data and discloses their information. HIPAA compliance
checkpoints are automated and are done at random to make sure HIPAA rules
and regulations are followed. (Sork,2024)

EHR has enhanced security features. EHR systems allow permission settings. It
will only allow authorized staff to access information. Digital logs will track who
accessed the patient information and when. This will track any authorized users
attempting to access records. To access the EHR, you will be assigned strong
