Managing an Event – Unit 4
A1- The Tasks that need to be completed by the Event Manager
An Event Manager is the person who is in charge of planning and organising all of the different types
of events to make sure it is successful in other terms to make a profit from it. To make the event
successful the Event Manager has to perform a lot of tasks to make the event successful. So this
means one important task that does need to be completed first is by creating a team by hiring
members that have the skills to take on the specific role and do it successfully and also finding a
place that is suitable for people in terms of accessibility such as having toilets, car parks and not
difficult to find along with having access to Wi-fi, rubbish facilities and others. For the event to be
successful they need to alert people what the event is and when it is happening so they have to do
their market research in terms of primary research as it quite cheap to understand their customer
needs. Then after finding out what the customer needs is the Event Manager then has to set up a
budget of how much to spend.
When organising or setting up a team it is very important for the Event Manager to hire people who
are trustworthy, willing to listen, showing respect for each other and being able to complete the task
that has been handed to them so that the objective in this case an event to be successful.
This will lead to the Event Manager needing to hire qualified and specialist employees the reason
why is because therefore the Event Manager can trust that the employer will be able to complete
the task efficiently and professionally so that the event will be successful.
The location is very important for the Event Manager because the location of where the event will
be taking place has to be suitable for all different kinds of people. The reason why is because for an
example people who are in wheelchairs will need wheelchair access and other accessible features,
secondly people will need to use the toilet now and then and thirdly people might come to the event
with their cars so that means they will need to park their cars in a safe and suitable place whilst
attending the event.
Before the setting up the event the Event Manager has to produce a budget of what to spend. In this
case they would want to spend as less as possible they can and make as much as profit as much as
they can unless they put the money for charity as the purpose of the event. This means that the
Event Manager should aim to keep a favourable variance, this means that he has spent less than
what he expected.
For the event to set up legally the Event Manager will need an event license to hold the event. The
Event Manager must be aware of the two Legislations such as the Employment Act 2008 and the
Licensing Act 2003 as there are few rules and regulations about how the employers should do and
how the Event should be planned legally.
The location of where the event will be taking place will need to take a Health and Safety test to
make sure there isn’t any Hazards that could cause a harm to people and the employers and also to
make sure that the building is safe to use.




A2- The skills needed by the Event Manager

An Event Manager has to have the skills needed to be able to run the event successfully and
properly. The Event Manager can also be termed as a leader and as a leader they have many skills
that is very important when working as a team.
It is very important for the Event Manager to have really good communication skills the reason why
is because they will be constantly be talking to each team members and also people who will be
attending the event. Also, it is very important for the Event Manager to be very clear in what they
are saying so that team members know what is happening and knowing their task is to achieve the
objective, this also goes with people who are attending the event. If the Event Manager doesn’t have
communication skills it will be very difficult for the employers to be able to understand what their
task is and be able to perform it. Also for the people working for the event maanger, if the Event
Manager doesn’t have the communication skills then they might listen to what the Event Manager
says and might lose interest.
This then links to having confidence in anything like interacting different sorts of people. By having
the confidence it shows to the team members that they feel wanted which therefore motivates
them and understanding what they need to do. For people by having the confidence of interacting
with them the Event Manager will grab attention and give them more of an interest.
Being an Event Manager also means that you are the leader of the team. A Leader has a lot of
qualities in themselves. In this case Leadership is a very important skill the reason why is because
you will be taking the response that will make people look up to you and willing to you and therefore
complete their specific task successfully without any types of problems which then lead to the even
to be successful. This links to the Interpersonal skills as you have to interact different sorts of people
to understand what their ability to make a final decision, as a leader by interacting with different
sorts of people it means that the leader has to have effective communication skills, show respect to
team members and being able to motivate them as well as it these abilities shows that you are a
successful leader.
It is very important for the Event Manager to have the negotiation skills successfully the reason why
is because they will be discussing with suppliers trying to get the best deal for themselves and for
the suppliers so that they can provide these supplies to people when the event is in condition and
for it to be successful and also negotiate with other team members what the best role is best for
them.
By having the event organised is also a very important skill the reason why is because therefore
nothing wouldn’t be messed up and be confusing for the team members as that will make them
confused as to what they need to do if it is messed up. This then links to being able to solve a
problem by having a plan B in case anything goes wrong so that everything in the event goes fine.
With the event being organised it goes in with how time is being managed. The reason why is
because the tasks that has been set on each team member has a deadline in when to complete the
task because they have to perform tasks before the event happening so that the event will be
successful. In conclusion, having the skill of being able to manage the time and plan out when to do
a specific task is very important for an Event Manager.

Skills audit is the process of when analysing, measuring and recording the skills of a person or a
group. This will show what the individual can improve on and how they can improve it. Examples
such as purchasing system audit, department level audit and data quality audit.
