,Introduction: This documents explains the plan for create and setting up a cloud based
storage and collaboration system. This is designed for a small group of people in a medium
size company. The writes technical manuals and they need a simple, safe and easy way to
work together on documents and spreadsheets.
The main goal of this project is to use the could technology to help the them to do their
work in a better way, so they can share information and access their files from different
places. This documentation will describe what the system is for, what its requirements are,
how well it will work and if there are any risks involved, along with reducing these risks. This
project will also help the company to see if using cloud system is a good ideas for the future
instead of relying on only the office-based servers they have currently.

needs.
Purpose of Solution: The cloud based collaboration system is made for to help a small team
in the company who work together on technical manuals. The team has five people who
need to write and read the documents and spreadsheets at the same time. The system will
let them do this easily and safely. It will also keep track of any changes and make sure the
files are always up to date.
This will help the team work faster and better by sharing files quickly with each other and
they don’t have to be in same place to work on these documents and the spreadsheets. The
system will also let them share calendars so they can plan their meetings and deadlines
together. They will be able to use the system on different like mobile phones and pcs, so
they can work from anywhere they like.


Client’s Requirements: The client needs a cloud based solution that will help their team of
five people to work together easily and safely. They want a system that will allow them to
store their documents securely online so the team members can access the files. It must
also allow real-time collaboration, which means all the team members should be able to
work on the same word documents and spreadsheets at the same time and see who editing
which files. Another important requirement is calendar sharing.
This will help the team to organise the meetings, deadlines and tasks so that everyone
knows what is going on and when something will take place. The system should able to work
on different devices as well. It should run on at least two web browsers used on desktop
computers such as Google Chrome and Mozilla Firefox and also work on at least one mobile
device so that users can access the system from different places, even when they are not in
the office. These requirements will help the team be more organised, communicate better
and get their work done quickly.


User Needs: The people who will use the cloud system it should be simple and easy to use.
They want an interface that is easier to understand and not confusing to use and access it.
So they can quickly learn how to share documents between other people and work together

,without needing much training on the cloud. It is also important that the system lets them
work on the same files at the same time without any issues also edit it.
The users need to know that if their files are safe, so the system must have strong security
features to protect any sensitive or private information they are working on. Since the team
might not always be working from the same location, therefore they should able to use the
system on both desktop computers and mobile devices. This means it must work on web
browsers like Chrome or Firefox, as well as on phones or tablets. If the system meets all
these needs, it will help the team stay connected, do work quicker and keep their data safe.


Hardware: The client already has some IT hardware devices in place such as desktop
computers, laptops, mobile devices and internet access. These devices will be used to access
the cloud system, so these devices must able to run web browsers like Google Chrome or
Mozilla Firefox at new or recent version of the software. Also the client does not need to
buy new servers or storage devices because the cloud based system will store all the files in
the cloud instead of on the local server.
However, a stable internet connection and reliable network equipment is needed such as
routers and switches which are important to make sure the system works effectively with
every devices the company have. The existing computers and mobile devices should also be
checked to make sure they are not outdated and they can handle the cloud service without
slowing down the device. If any of the devices are outdated or too slow, the client may need
to upgrade them to make sure the cloud system works well for everyone in the team who
will use the system.


Software: To make sure the cloud collaboration system work properly the client will need to
find out which cloud software will be use for the team to work effectively. There are many
cloud collaboration software are available such as Google Workspace or Microsoft 365
which allows multiple people to create an environment and work together on documents
and spreadsheets at the same time and all the file get save automatically after the work get
done. Also share a work calendar with the system for it meeting and about event stuff. The
client will need to make sure that they have the correct number of software licences that
will be used for all five team members so that everyone can able to use the tools without
any problems.
Also having strong security in place is important, because the system needs to include
different types of security in place to protects the user accounts and their data. This can
include things like antivirus protection, two-factor authentication, encryption and regular
software updates. The web browsers that are used to access the system must also be up to
date to support the features of the cloud service has to offer. If any of the current software
is outdated or not compatible, the client should upgrade it to meet the system’s needs.

, Network : To make sure the cloud based collaboration system works across all the devices
everyone in the team will use, the client needs a strong and reliable internet connection.
The system is depends on the internet to let users to access files, work on documents
together and use shared calendars for meetings and events. If the connection is slow or
keeps dropping the bandwidth speed than the team may not be able to do their work
properly and they might have problem in saving the files. The network must have enough
bandwidth to handle several users working online at the same time, especially when
uploading or downloading large files like technical manuals or spreadsheets.
The company should also make sure their Wi-Fi or wired network equipment such as the
routers and switches is up to date and can manage the amount of data being used easily. If
the current internet service or equipment is ]unreliable to provide what the system required
than it may need to be upgraded to support the new cloud system.


Legal and Ethical Considerations : The cloud system must follow all laws and rules about
handling how personal and company data, how it get stored and how does it use. One of the
important law in the UK and EU to protect any type of data is call General Data Protection
Regulation (GDPR), which the client need to make the is following it when creating the cloud
system or any third person creating the system for the client also need to make sure the law
has been followed. To follow GDPR, the system must use data encryption so that any files
get stored or shared online are safe from cyber-attacks or unauthorised users.
The system should also have secure access controls such as strong passwords and two-
factor authentication, to make sure only the right people can log in. It is also important to
run regular checks, to make sure the data is being handled safely and nothing is wrong with
the system like having data bridge. Keeping personal and business data safe is not just a
legal requirement it is also the right thing to do to protect the privacy and policy of
everyone’s.
Risk Assessment: There are some risks that could affect the cloud collaboration system and
it is important to plan how to deal with it. One of the risk is a data breach, where someone
who should not have access gets into the system or able to steals private files. To stop this
from happen, the system should use some security features like encryption, secure
passwords and two-factor authentication to make more stronger. Another risk is system
downtime, where the cloud service cloud stops working for a short time due to technical
issues.
This can be reduced by choosing a reliable cloud provider which a have good track record of
setting up different organisations cloud service. Another risk cloud is the user error, such as
team members accidentally deleting files or sharing the file accidentally with the wrong
people. This can be prevented by giving users proper training on how to use the system
safely and securely. Regular backups of all data in the server should also be made so that if
something goes wrong, files can be restored easily. By preparing for these risks earlier this
will help the system to be safer and reliable to use.
