Learning Aim E – Event Evaluation
Introduction

In this section, I will be talking about the different features after the event, such as meeting
aims and objectives, the timings of the event, keeping to the budget, the effectiveness of the
contingency plan, feedback from the consumers, suggesting improvements for future
references and an evaluation of the skills I used and how well I used it, what could have been
better used, essentially reflecting on the running of the event and evaluate own skills
development.

Review of success: meeting aims and objectives

One of the aims we had was to reach a sale point of about £100 by the end of the event, to do
this our objective was to promote and sell as much as we could. We did not sell all the rings
we had but still managed to get a sale point of about £107. During the event, from time to
time as our table died down, we had some of our members go to other tables and speak to
people about our jewellery stand and why they should buy from us, this was effective and
helped increase the customers coming which led to more sales. To conclude how successful
this aim was, we can see that we had a sale point which was high as well as that we only had
about a few pieces of rings left which meant most of the supply we had purchased had been
bought. I also believe that the ways we had to attract our customers helped massively
towards getting sales in. Which also tells us that people were satisfied with the jewellery they
were buying if we got these many sales. This can also be backed up with the feedback we
had, we had received good and positive feedback from our teachers. We did a peer
assessment within our group and from our Furqaan believes that I had a good sales pitch and
was good at engaging with customers, but Hammad thought that I could have been better at
timing for putting the discounted price a bit earlier. The rest of the group members Ali and
Ates thought there was no problem with me, and I put the most effort into the group. This aim
was effectively achieved from a scale of 1-10 (1 being not achieved and 10 being the highly
achieved) I concluded that we hit this as a 7. I did not put as a 10 as we just about hit £100,
and part of the aim was to hit a bit more if we were able to which would have brought us
higher.

Our other aim was to spread awareness for the chosen charity which was UNICEF. Our
objective for this aim was to as a group make sure by the end of the event people have at least
some knowledge about UNICEF before leaving this will benefit us since we will know if we hit
all our aims and objectives for the event to see if we were successful or not. We will educate
people through small talks and handouts which people can also additionally donate money
with buying the jewellery so the charity can benefit more. I believe that this aim was not as
effectively completed as we wanted it to be. We wasn’t able to during out event to have small
talks and give out handouts but we were when we were going different classes promoting pre-
event about the event was able to talk about the event but while doing that talk a bit about
the charity and where it is going to do by addressing it clearly. As well as that we had on the
posters, we put on the poster that it is going to UNICEF and had on the poster that all the

,money will be going to charity which people had read. We did also address that when sales
were getting made that the money was going to charity. I believe that this aim on scale from
1-10 was achieved as a 4 so not very effectively achieved. I put this as a 4 as we did not do as
much to make it effectively achieved.



Timing

Evidence of the timing:




I believe that as a group our timing was good, we were able to demonstrate in many ways. We
had two members (Ates and Furqaan) come in early around about 9-9:30 am to set up, where
after I came around 10:00am to help as well. However, the timing for our other members Ali
and Hammad was very poor as they came later and not at the time, we told them to come at.
But this did not let our group down as we were already prepared to overcome this issue if this
were to happen. We set up and everything was ready on time meaning we was able to open
at 10 am which is around about that time we already had got in our first sale. But pre-event,
we did time well to advertise a bit before the event and talk to people about our event.

We did see from the receipt book we have where we took account of when we were getting
sales and noting down information for veery sale we got that the peak time for us was during
11am – 12pm. But we did have a peak sale point during 12pm – 1pm. But we did see that after

, 1pm the sales did start to drop slowly but to overcome this we had planned about 2pm to set
our prices for anything that was sold at £3 to make it into £2 and have a deal of 2 for £5.

I did let myself have a few breaks but there were only short breaks, as I was putting the most
effort into the group, I did not want to leave but I did trust Furqaan as he also was working
hard for the group. He also let himself have breaks. The rest of the members was not working
as hard as they could’ve, so it did not matter as much as those in the group who was working
hard, we managed to overcome this issue by making sure we knew exactly what to do if this
was to happen and how the handle it.

We did plan to close by 3pm but our teachers told us to start packing up around 2:30pm. But
we did try our hardest to sell the rest of the supply at a discounted price, but it was too late
as it died down after 1:30pm because most people had gone back to class. So, this was one
of the issues we had as a group with timing.

Budget

On to the budget aspect, here I will be reviewing the actual expenditure against budget,
reviewing the actual income against the budget and the review of the actual profit/surplus up
against the budget of the event.

Starting with reviewing the budget of expenditure, expenditure is meant by the money needed
to be spent on the event to buy resources such as products and supplies. The total of our
supplies added up to £79.90 in total which was a lot, and we did not expect to be spending
this much. We spent this on resources such as the 3 types of different jewellery and as well
as that we spent it on the gift bags to put our bracelets and rings in. We spent more than we
predicted we would spend. This was due to the lack of time we had to plan and prepare
carefully what we would want and how much of each. However, we did still manage to get a
bit cheaper as at the time the items we had some of them were going on small sales meaning
if we missed the sale we would have to spent more on the supply. But in the future, if an event
was to come up like this again we would make sure to allow ourselves as a group to leave
some time to properly figure what sort of things we need and how cheap we can go to be
spending as less as money as we can but still considering to find good quality. Allowing some
time, will let us find good pries which even if it takes 2 weeks to come that time will allow it to
come. Whereas, for us we did not let us have much time meaning we had spent more to get
it faster from Amazon with our team member Furqaan ordering the items he had the next day
delivery option meaning we was able to get the supply in quick.

Moving on, the next aspect was reviewing the actual income made from this event. This
occurs when revenue outweighs expenses, and in this case, the revenue from the event was
greater than the expenses. The income we made was £110 but the actual profit we had was
£30. This shows that we did not break even meaning there was a fault in how much we
succeeded in this element of the event. However, the profit is still £30 as we did not spend
money onto resources, we were able to get for a free as we were too able to get it from home
or other places such as the cloths we used for our table and other stuff such as the stands
etc. This did help a lot to reduce our expenditure as we already spent way too much over how
$9.87
