Question 1: The Communication Process in the Scenario (15 Marks)
The communication process involves several key elements: the sender, encoding,
message, channel or medium, receiver, decoding, feedback, and potential interference
or noise. In this scenario, each of these elements can be identified:
1. Sender: The communication is initiated by the CEO, Mrs. Mokoena.
2. Encoding: She formulates her message by putting her thoughts into spoken
words, instructing a change in lunch break arrangements.
3. Message: The main point being communicated is that lunch breaks will be
shortened and the end-of-day work time will be adjusted.
4. Medium/Channel: The communication is delivered verbally during a face-to-face
meeting.
5. Receiver: Mr. Sibiya, the supervisor, is the person to whom the message is
directed.
6. Decoding: Mr. Sibiya listens to and tries to understand the information shared by
the CEO.
7. Feedback: He responds with a hesitant “Okay, Mrs. Mokoena,” which suggests
limited engagement, possibly due to uncertainty or discomfort.
8. Noise: The CEO’s distraction during the conversation (such as taking a phone
call) serves as psychological noise, which likely hindered full communication and
discouraged further discussion or clarification.
In conclusion, although communication technically took place, the effectiveness was
reduced due to a lack of active listening, limited feedback, and possible
misunderstandings. This highlights the need for open interaction, attention, and
confirmation to ensure messages are clearly understood.
