communication. You are the office manager of Soshanguve
Electronics (Pty) Ltd. You received a complaint from Mr Mpofu,
the manager of the local store. He is complaining about the
poor quality of the laptops you supplied with his last order.
Write a reply to his complaint indicating what steps you are
going take to correct this matter. The letter should be in the
format of a business letter.

Describe and explain the communication

that help ensure a message is successfully delivered and
understood. In the given scenario, the communication process
can be described as follows:
1. Sender: The person who initiates the message. In the
scenario, the sender is Mr Mpofu, who raises a complaint.
2. Message: The information the sender wants to convey.
Here, it is the complaint about the poor quality of laptops.
3. Encoding: The process of turning the message into words
or actions. Mr Mpofu encodes his dissatisfaction into a
formal written complaint.
4. Channel/Medium: The method through which the
message is sent. In this case, it is a written letter or email.
5. Receiver: The person to whom the message is addressed.
The office manager of Soshanguve Electronics is the
receiver.
6. Decoding: The process of interpreting the message. The
office manager reads and understands Mr Mpofu's
complaint.
7. Feedback: The response from the receiver. A business
letter replying to the complaint is sent.
