Planning an Event in the Light of Research
Event analysis
Myself and my team discussed many ideas of different events to hold and thoroughly analysed them
by considering advantages and disadvantages to conclude a finalised event idea.
Our first idea was a trip. The trip would be for the 6 th Form IT students and the choice of location
would be linked to the subject. We chose to work with this specific subject as the teacher may be
willing to help us with the logistics of the trip. A trip is a very enjoyable event for students as they
can be with their peers outside of the school environment and have a good experience. It is also
rewarding for the students and the trip would be subject related. This means that they can improve
their study knowledge by an external experience which could motivate them to work harder or help
their understanding. A trip is very likely to be successful because students will want to attend.
However, when planning the event, there is a lot of paperwork involved such as the risk assessment.
Taking students outside of the institution includes many risks which all need to be considered and
handled appropriately to ensure the safety of everyone included. Staff supervisors would need to be
found for the trip which would be part of the safety of the students. It would be hard to bet staff for
the trip as they also have lessons and other priorities. The budget is also another disadvantage as
trips include costs such as travel, admission and food. Getting a hold of a budget for a trip is not
guaranteed and will take a lot of persuading to the headteacher. As well as the budget, permission is
needed before proceeding with a plan for a trip and it would be hard to get approval. A reasonable
plan of a place for the trip is very hard due to the link to IT and also considering the enjoyment for
the students. We had started to try and find locations for the trip destination and it was very difficult
to find a suitable place ticking all boxes.
Secondly, we thought of a bake sale in which the profits would go to a charity. The agreed charity
was Water Aid and the thought of donating to a good cause pushed us to lean towards this event.
The event would take place within our school in the atrium, at break time, on valentines’ day. A bake
sale would be good as there is a variety of goods to sell such as: doughnuts, cakes, cupcakes, biscuits
and many more. After researching online and prior knowledge, we found that there are a lot of
retailers in which we can buy in bulk at wholesale prices which would give us a good profit range.
The goods would be sold at low process which means it will be affordable for the students. Our
customer base is huge as there is over 1000 student in Co-op Grange Academy and teachers would
also be part of our customers. Also, no extra staff will be needed as there is enough of us in our team
to try and handle the event. However, it will be very difficult to control order due to the boisterous
behaviour our students sometimes portray and the large number of customers in one space will be
very crowded. We will have to put a lot into advertisement so that students and teachers are aware
of what we are selling, when and where their money will be going. A well as advertising the event,
an awareness for Water Aid should also be advertised. There is still no guarantee that it will be
successful as the good may not attract customers or permission may not be granted. Permission to
hold this event will need to be asked for from Miss Mander which may be difficult to do as we will
also need to ask for a budget. However, negotiation can take place so it will not be too difficult. A
risk assessment for this will also have to take place as when selling edibles, dietary/allergy
requirements must take place and need to be highly visible to anyone purchasing the goods.
Another idea for an event was a non-school uniform day. This would also be charitable, and Water
Aid would be the organisation we would donate to. This is a very profitable event as there are no
expenses included and there are over 1000 students within the school and a minimum £1 each
would already give us a very high profit. A non-school uniform day satisfies students and is very
enjoyable for them to express their identities and to look and feel their best. As every student is
most likely to come into school with non-uniform, this will guarantee our likelihood of succeeding.
On the other hand, when planning this event, the biggest disadvantage is getting the approval from
