QUESTION 1 [15 MARKS]

You have been invited to deliver a speech to young graduates about important issues in project

management. To educate them properly answer the questions that follow.

• Please note you will be required to do research on the questions below.

• Also indicate your references

1.1 Discuss five constraints, besides a project budget, that a project manager must balance to

successfully complete a project. (5 marks)

1.2 Describe each phase of the project life cycle, referring to two core activities that usually

occur in each phase. (10 marks)

1.1 Five Constraints a Project Manager Must Balance (5 Marks)

Besides the project budget, a project manager must balance the following constraints to

successfully complete a project:

1. Scope: Refers to the specific goals, deliverables, tasks, and deadlines of the project. Any

changes to the scope (scope creep) can impact time, cost, and quality. Managing the

scope ensures that the project fulfills its objectives without over-expanding.

2. Time: Managing the project schedule is crucial. Delays can lead to budget overruns and

affect the delivery of the project. A project manager must ensure that tasks are completed

on time to avoid pushing back deadlines.

, 3. Quality: The project must meet certain standards and specifications. If quality is

compromised to save time or money, the project's overall success and satisfaction among

stakeholders can be impacted. Quality assurance processes ensure that the final

deliverables align with the project’s objectives.

4. Resources: This includes human resources, equipment, and materials. A project manager

must allocate and manage resources efficiently to ensure they are available when needed,

avoiding shortages or underutilization.

5. Risk: Every project faces uncertainties and potential risks. Managing risks involves

identifying, analyzing, and mitigating them before they become issues that can derail the

project. The project manager must continuously assess risks and adapt strategies to

minimize their impact.

1.2 Phases of the Project Life Cycle and Core Activities (10 Marks)

The project life cycle is typically divided into four phases: initiation, planning, execution, and

closure.

1. Initiation Phase

• Core Activity 1: Feasibility Study: The project manager evaluates the project's

feasibility, which includes assessing whether the project is achievable and aligns with the

organization’s goals.
