M1) Compare the purposes of different documents used in the selection and recruitment
processes of a given organization.


There are three main documents that are used in order to select and recruit staff in business. These are
job description, person specification and job adverts.

A job description is the job duties that an organization gives in order for the applicant to know what
aspects the job involves. In the job description there will be information about the purpose of the job
and the types of responsibilities and duties that the job involves. The aim of the job description is to
reduce the number of applicants to those that can do the job and are really keen on the job. This process
would help an interview by keeping the number of applicant’s low which saves time of the interviewer.
This is why it is important for the Vaults & Garden to ensure that they have a sufficiently detailed job
description, as a lot of applicants would probably be capable of doing barista job.


Person specification describes the ideal person to do the job. It would describe the type of the person,
that an organization would look for. Person specification would give details about the job title, post
reference number and management responsibilities. In addition to that, an organization would also give
an applicant attributes that they looking to get from the person. For example, the type of personality the
person has (friendly, communicative, smiley, etc.). This is why it is important for the Vaults & Garden to
produce an effective person specification to ensure that they have the best applicant with the most
suitable skills and knowledge. The reason why person specification is important is because on the
personal specification there will be essentials and desirables and if one of the essential criteria will not
match the organization’s needs (as listed on the person specification) then this applicant will be declined
straight away. In addition to that, the person specification would help an interviewer to expand further
relevant questions. For example, if an applicant has written in his form that he/she is good at resolving
problems and that is listed as essential on the person specification, then the interviewer could ask for an
example of what applicant has done in a past. So this will help the interviewer to structure the interview
and questions.

Job advert would include the main things from job description and person specification in order to
attract only suitable applicants. In addition to that, it should include the essential qualities and key
duties. This document would help the interviewer to save time and ensure that only applicants with right
skills have applied for a job.

In conclusion, the job description would normally be used to describe the duties of the job, whereas the
person specification would only describe the ideal candidate for a job. The advert would basically
combine job description and person specification together.
