M1: Assess the importance of meeting organisational and legal requirements
when planning a business event.

Introduction
In this report I will assess the importance of meeting the organisational and legal
requirements when planning.

● Abide by the health and safety regulations

The Health and safety At Work Act 1974 is the cornerstone of health and safety
legislation in the UK. The Act imposes duties on both the employer and the
employee. An event organiser must be aware of the emergency procedures that are
used by the venue where the event is being held.Under the Health and Safety at
Work Act 1974, it is the event organiser’s responsibility to ensure that their
employees are looked after.

The event organiser has a duty of care to any other people who might be attending
the event. Many different aspects need to be considered, including arrangements for
first aid, insurance and food hygiene. If anything goes wrong at the business event
including if someone is injured or even dies, there could be serious consequences
for the employer and individual under criminal law. It is possible to be prosecuted for
corporate manslaughter and go to prison if found guilty.

There are stringent health` and safety requirements for events e.g Security is
another main arrangement that needs to be present at an event. Security can control
who comes in and out of the premises and they make sure that a bad situation is
diffused as quickly and calmly as possible to guarantee everyone’s safety.

Another regulation is fire safety and the event organiser would need to talk to the
venue’s manager or co-ordinator to find out what happens in an emergency, where
the nearest fire exits are and what kind of sound indicates that there is an
emergency.

Materials and equipment must be kept secure for health and safety reasons before,
during and after the event, from the time it is placed in the venue until it has been
picked up. Some equipment is extremely expensive and would be costly to replace
so it must be secured, monitored and returned to its owners at the end of the event.

● Abide by the company rules and regulations
There are a number of important legal requirements that need to be considered
when organising an event. Most legal requirements are covered by a contractual
agreement that will be agreed either verbally or in writing.

Separate agreements can be made with outside suppliers and may include those
used for booking a hotel venue or hiring equipment. The Supply of Goods and
Services Act 1982 ensures that the event organiser is supplied with goods and
services as part of a contract; it also protects suppliers and customers. The Act sets
