Explain the role and skills required to be an effective
events planner
Introduction
To run an event successfully, you need to have the correct skills and roles. I will explore and explain
the types of roles and skills you need in order to be an effective events planner in this assignment.
Roles of an event organiser
Venue
The venue is one of the factors to consider when hosting an event. This is because a venue is where
you want your event to take place and you need to consider some important factors which include
the size of the event, the number of people that are coming towards the event, options for foods
and more. You need to also consider the travel method that people are going to use when travelling
to your event. This is because if the event is going to be quite far then attendees will therefore use a
car to travel to the event however if the event is quite nearer towards where the person resides
then they will likely to walk as it might take them about 10 – 15 minutes. Therefore, you need to
consider the travel method of how people are going to get there because if customers are required
to go on a coach together or go on the subway. The size of the event is important because if for
example you invite a large number of people towards the event then you won’t have any space for
the people to come and therefore you have done a bad job booking a venue. Therefore, if you have
a large number of people coming towards the event, you will need to book a large venue for them
but you will need to consider things like costs and travel. This is because a bigger venue will be more
costly compared towards a smaller venue as you might have more facilities, equipment and
generally a larger space for people to enjoy themselves. The cost of a large venue will also impact
because a large venue will be more expensive than a small venue as there is bigger space and you
will be requested to pay fees if you damage any equipment for example chairs or anything else. If
you have booked a large event for people to attend and only a few people have come towards the
event then this shows that you have wasted your time and effort into making this event possible as
you have only attracted less people which shows you have lost some of your money. By having a
small event booked, it tells you that you will have less people coming and it won’t be quite costly
towards a large event. Moreover, the scene and atmosphere of the venue will impact if people are
going to come towards your event because if it’s not that interesting then you may not get any
people coming towards your event which can look bad on your character. You will be seen to not
have the skills to be an effective events planner. By having a smaller venue, it will be seen as an
advantage because there will be less people which shows costs will be saved and it will be less
disturbing and more peaceful while a larger venue can be quite loud and annoying. Overall, you
need to consider the amount of people who are going to come because for example if you don’t
have enough hotels or restaurants then this can show you have made a mistake as you needed to
book a larger venue because you have a lot of guests. To conclude, a venue is an important role for
an event organiser as location is vital because you need to make sure you have a good atmosphere
and you have invited enough people for your venue.
