Unit 4 Assignment 1
Managing an event
Daniel Vroy

Role and skills required to be an effective event planner

A public gathering for the purpose of celebration, education, marketing,
or reunion is known as an event. Whereas, an event planner is someone
who is responsible for ensuring that a planned event, such as a
wedding, conference, or festival, runs well and meets all of the event
objectives and aims. (1)

Different roles and tasks needed to be completed by an event
planner

An event planner plays a key role when organising an event. They will
have significant expertise and insight since they have organised a
variety of events in the past, and will be able to offer ideas and
suggestions in order to make the event the best it can be.

To be an effective event planner, there’s many roles and tasks that
should be considered. One of the main roles that an event planner has
to keep in mind is organising. To begin with, an event organiser should
find a suitable location to book the venue. The suitability of the location
will be influenced by the awareness of the sort of people who will attend
the event and the event's theme. The location of an event is crucial since
it can impact those who come, such as attendees and speakers. If the
venue is in an unpleasant location or is too far away from public
transportation (such as airports), the number of people who attend will
be limited. An event planner must consider the greatest potential site in
the local region for local attendees. If the event is intended to attract
people from across the country, a smart event organiser should choose
a certain site so that everyone can travel easily within the same amount
of time and distance without any difficulties. (2)

As well as location, the venue is also important and is another essential
role which an event planner should focus on alongside the location, as it
ensures that the event will run well and that the attendees will be
pleased and delighted by their experience, resulting in a positive
impression of the company or the clients they represent. The venue is
also crucial because it sets the tone for what sort of event is being
planned and has a significant impact on whether or not people want to
come. Therefore, it is required to focus on the venue as much as the
location as it will also assist an event planner in determining the
expenditures involved.

Food service planning is also a crucial part of any event; the catering
may make or break the event's success. In order to be an effective event
planner, it will be required to consider and comprehend who the visitors
are while choosing catering and food for the event, and then cater to
their tastes and demands. It's vital to understand that although some
venues provide meals, others require outside catering to be brought in.
Event organisers can also choose to supply their own food for the
visitors, such as baking cakes to give away or sell.
To avoid guests becoming sick, an event organiser must verify that any
food offered meets with the Food Standards Agency. (3)

An event planner must also absolutely make sure that there’s been
planning and reserving facilities. As a result, the event will follow health
and safety laws and regulations, which will allow the visitors to have a
better time. When arranging a large event, an event planner must ensure
that everything goes as smoothly as possible which is why planning is
essentially required to be an effective event planner. The time of year is
significant and has an impact on event planning. An effective event
planner will be able to recognise the many elements that are more likely
to impact their event, and they will need to choose whether or not to take
action. Knowing whether an event is being held indoor or outdoor is also
essential so that the toilets can be arranged. An event planner must
make sure that the toilets are provided, as without acknowledging them,
it can be really problematic.

To be an effective event planner it must be ensured that everything goes
as smoothly as possible, therefore a smart event planner must set up an
event programme. Event programmes assist guests in rapidly orienting
themselves. They reduce confusion by reducing the most crucial
information into a few well organised words. Setting up the programme
and informing people about the event's content at various times during
the day will assist direct people's interests and provide them with an
overview of what will be happening throughout the day.The duration of
the event should also be included in the schedule. Extra activities on the
schedule, such as a lunch break, must be included in all day events.
Having a programme is very useful and also a lovely gesture, as it gives
the guests something tangible to grasp and show their friends. (4)
