P1-Explain the roles and skills required to be an effective event organiser:

Venue and Location- The venue is the first thing in which an event organiser must deal
with, and large majority of people believe that it is the most crucial factor of an event.
The reason it is the most important as this venue will influence the decision of whether
people want to attend or not. Decided how big the venue should be is also a key factor
as the bigger the venue the more money in which it will cost. When thinking about the
venue the event organiser needs to think about, the number of people who want to be
seated or standing otherwise this can affect people's opinions and day at their event.
Another reason is thinking about any ethnic considerations. For example, it would be
wrong if a vegan went where they focus near the event is a farm killing animals for
food. This is especially important as again they can start bad opinions on you and if they
told you that your vegan and they still do it they can send legal complaints which could
lead to major successive fines towards the event organiser. The location will affect the
influence of the business's success or failure. The location will be influenced by the
participants of the event which will massively influence where the event is put on. The
place is also based whether people to get they're by the time the event starts. For
example, if many people don’t have cars and a lot of people are coming from the local
areas it would be better to organise this event close to the local area. Also, another
influence of decided upon the event is by getting to know the main people attending the
event. This is important because if this is a wedding and people and the event organiser
decided to do the theme on football and they don’t like football this would be aa
failure. With any event it is important to consider the ambience of the location.

Catering- Catering may also be major to any event created. The catering side of things
may also affect the event in which people want to eat or not which at a wedding they
should do. The food which is given out at a wedding also affects the location in which
the wedding is placed. For example, if a three-piece meal is taken place in the wedding
it is going to be placed in a hotel with great facilities. However, some people in their
event may want to bring their own food for example bring their own cakes, bread etc.
The local authority environment health team also gives advice about making sure that
the food is safe and investigates if any participant in the event gets ill after the event.
It is essential that event organisers.

Planning reserving facilities- Another important factor of an event is making sure
everything is okay and everything goes to plan successful for the people to have a good
day. Planning does not just involve the planning for your current event selected but it
also includes planning around other events happening in around the same area around
the same time. To many events happenings in the same place with the same people may
lead to their being less attendance to your event. The time of year may depend on the
planning of the event for example if its winter in which it is raining and is cold your
more than likely not going to have the event outside. Therefore, planning around the
event is one of the most important factors for the event organiser. Very large events
may need specific things around the event for example if a lot of money is needed for
the event a cash machine near the event more beneficial having. More examples like

, first aid facilities, baby changing facilities. My final important thing that should be at
the event, if the event is large enough are signs and banners showing where people need
to go.

Setting up the program- The list is in order of what will happen at the event time by
time. These are very useful as this plans the event to make sure that the event runs
smoothly, everything goes to plan people enjoy the event. This program will include the
speeches of special guests, special guests and gifts to certain individuals. Also,
something else which may be highlighted in the program is the more special guests the
venue will display often increases the amount of people attending. Also, the timing of
the event maybe an important factor of the programme, this is because people may
need a lunch break and just a normal break throughout the day etc.

Preparing and distributing documents- In more big events and some small events,
documents are often made to the people attending as just a verification to get into the
event. This is used as clarification. These documents can be given out in person by the
event organiser however in most recent years people are starting to hand these
documents out online as this massively reduces time and can be easier to get into the
event. In addition, for example if you were waiting for the document to be given to you
by the event organiser this may affect the program as the number of people may slow
the time down meaning the event maybe delayed. They could also be uploaded to be a
website in passwords can be given out to the users for them to access it.

Contracts- Many occasions include the signing of contracts. These are frequently
initialled on the insurance, catering, and venue contracts. Several contracts, including
the rental of items required for the event or perhaps further hire, may be signed in
advance of the event. The supply of goods and services statute guarantees that goods
and services are provided to the event organiser as part of a contract and protects
both suppliers and clients. The act lays out requirements to safeguard event
organisers, attendees, and customers against defective equipment.




Investigating current legal requirements including consumer protection-

Contractual- Always ensure that you have a contract with your vendors as an event
organiser. As was already noted, the Supply and Goods and Services Act (ACT)
guarantees your protection if there are any problems with the suppliers or other
parties involved. If there are persistent issues with payment, it not only safeguards
the event planner but also the supplier. Additionally, the attendee enters a contract
