M3 - Analyse the key factors that need to be considered
when producing a plan for an event.
In this report, I will analyse the key factor that needs to be considered when planning
for an event,
When creating a plan for an event, the event organiser must consider several
important factors. The budget is one of them, when preparing an event the budget
must be considered as it will tell the event organiser what it can buy for the event
and what it won't be able to get. It also assists the event planner in keeping the
number of items organised and avoiding overspending on a particular resource. Our
budget, for example, is roughly £200. We calculated how much we could spend on
the event's requirements using this budget. However, the only concern we have is to
calculate how much we should charge the people to make a good profit as if we
don’t then the event will not turn out great. However, we should sell our food at a
decent price not too expensive and not too cheap to earn a good profit and if we
don't do it properly we could lose money and the event will not proceed as planned.
Another important thing to consider while creating an event strategy is the available
resources. We must assess how much of each resource will be required, as
resources are the most important components of an event's success. For instance,
during the event, we must determine how much of each item would be required. It's
critical to assign the right individuals to the proper jobs. This can assist with the
organisation since everyone may be in charge of a few activities and if something is
missing we can trace it down. To divide the jobs correctly, the team first needs to
consider what personal abilities each member of the team have.
The first decision we had to make to hold the event was the venue's location. We
looked at a few other locations for our event, but in the end, we decided to have it at
the college. So, as a group, we determined that our college is the greatest place for
us since it is very handy for us and provides us with a lot of accessibility to all of the
students and staff that attend the college. We chose not to have the event anywhere
else since it would involve a significant amount of walking, which we would lose
awareness of if we held it at the campus. The biggest reason why we chose the
college as our venue was due to the market we will gain for the event. There are
more than (1) 4,500 students attending three campuses of the city of Wolverhampton
college so at least we have more than 1.000 students attending each campus. To
reach as many people as possible, we did both the traditional method and digital
marketing. For the traditional method, we went for posters with the help of the whole
team and distributed and posted them all around the college. For the digital
marketing method, we organised an advert on the student dashboard of the college
and targeting all these channels was the best way to get the best exposure.
