An example of an information system that Doncaster College uses is Google Classroom.
This system has characteristics of a good information system. One of these is that it is
always reliable and up to date. For the information system to be reliable it means it can be
trusted and comes from a trusted source. Up to date means that it is relevant information
that isn’t outdated. The tutors always add the information needed for each week to ensure
it’s up to date. It will always be relevant to the unit because the tutors will only upload
relevant and valid information. Each of the files and subjects are separated into their
different units so that ensures the information is fit for purpose. This means that it is suitable
for its role.
Some more characteristics of good information systems are that they are cost effective and
accessible. Cost effective means it has good benefits for its price. For it to be accessible that
means it can be accessed by many people at all times. Google Classroom is free for the
college and everyone has 24/7 access to all the uploaded documents. All students in the
college can use their student email account to access Classroom and always have access to
the documents. The work on Classroom also is from a reliable source since the tutors
specialise in their specific units and upload the documents for the students to use. For it to
be reliable it needs to be from a trusted source. The teachers for each unit are trusted since
they are specialised and qualified for the job. Good information is also from a source in
which the user has confidence. Since the qualified tutors have either created or gathered the
work themselves then it is trusted that the work is from a trusted and reliable source.
The tutor also ensures that the information is understandable for the user. This means that it
is concise and can what needs to done can easily be identified. The information needs to
also be at a suitable level for the use to understand. For example there is no point giving a
level 1 student work that is expected of a level 3 student. That wouldn’t be understandable
and would be useless to them.
Another good feature is consistency. Each unit is set up into folders and subfolders. This
ensures it is all consistent and easy to use. Similar to this is that good information needs to
be to the right level of detail. This means that it goes in depth about the topic and nothing is
left unanswered or too vague. This would be ensured by the tutor because they only put
relevant information for the student to use online.
An example of an information system used at college is ProPortal. This is used to track
students grades and attendance along with setting goals. The information on this system is
up to date and understandable by the user. Understandable by the user means it is
structured well, clear and straightforward. The goals set on ProPortal are clear and
achievable for the students and are an example of good information. It is also up to date and
students and tutors can track goals and assignments every week on there to see progress.
Task 2: (P1)
There are two types of information used in business. Qualitative and quantitative.
Qualitative information is used to get in depth understanding on certain things. It helps gain
reasoning and motives. If the information is an opinion then it is also qualitative. It is used to
analyse the information and identify patterns and trends. This can be used for decision
making in the college. By identifying trends different functional areas can act on that
information to improve effectiveness throughout the college. This information can be harder
