Each organisation should have a staffing plan. When someone leaves the company, vacancy
will arise and the impact of the vacancy is considered against the staffing plan. The post
might be no longer needed or the nature of the post must be changed.
Sometimes major recruiting takes place in organisations because of the changes in
economic circumstances or in the business of the organisation.

Job description
A job description is a statement that explains the duties, purpose and responsibilities of a
job. It should include job title, job department, job purpose, main duties, responsibilities,
social conditions, physical conditions, economic conditions and prospects for promotion and
training.

Person specifications
They match the right person to the job. They describe the desirable personal attributes of
the job holder. It is frequently based on a seven-point plan that is built up from the below:

 Attainments
 Special aptitudes
The person specification and the job description are kept together and are used to help the
recruitment team find the perfect person for a job.
