P4 -Describe the event and its purpose
Dear Sir/Madam,
I am writing this email to inform you that I am the Junior Events Assistant and will be
working with Uxbridge college to help support their forthcoming Tutor Rep day on
Uxbridge College campus on Friday the 21st of October 2016.This event is an
induction day for all tutor reps across the college and can have up to 240 attendees.
My purpose of this is to assist in the organisation of the day, this will involve looking
into planning and consideration that is required to run an event successfully.
There are a number of tasks which have been assigned to you in order to ensure the
equipment etc is in order for the event.
The purpose of the student rep day is to raise a voice for the students at Uxbridge
College,it gives an opportunity for students to have their say and view about
Uxbridge college. This can then allow staff at Uxbridge College to make any
improvements or changes for the students benefit to help thrive on their education.
All safety issues should be raised firstly with your Line Manager who will take action
to try and resolve the issue. If, however, if the issue is not resolved to your
satisfaction there are other steps that you may take.
The College has a Health & Safety Committee which comprises representatives from
all the schools and service areas and meets on a monthly basis. The Committee also
reviews incidents that have occurred in College and the wider educational
community, accident trends and the progress made on the College Health and
Safety Action Plan, Issues raised here are fully discussed and actions are identified
and allocated to individuals to follow up.
As part of managing the health and safety I will control the risks in Uxbridge
College.This ensures that sufficient and effective controls are in place to reduce the
risk of incident or injury to an acceptable level.
I will carry out a risk assessment for the event such as ,if the venue is too small, the
event will become overcrowded or even dangerous e.g fire hazard.
Another aspect we are covering is Security including CCTV and IDs are in place.
We will make sure our security can control who comes in and out of the premises
and they make sure that a bad situation is diffused as quickly and calmly as possible
to guarantee everyone’s safety. Aswell we will make sure everyone has ID to access
the building safely and to identify who is in the premises.
The Tutor Rep day will be held on Friday the 21st of October 2016 at Uxbridge
College campus.Our first choice is to hold the event in the sports hall at Uxbridge
College But if the sports hall was already book, then we would have to look
elsewhere in Uxbridge College to find a venue.So are solution would be looking
elsewhere at Uxbridge college e.g the hall in west block that could cater to our
event.If there was problems that had arose then we would have a solution to move
the event to Hayes campus as our audience are college students and Hayes campus
