In this report I will be explaining about essential roles and skills that an
event organiser, would need to demonstrate, in order to be able an
effective event organiser. In order to be an effective event organizer, the
organizer would need to obtain some set of organisational skills and know
all the essential roles, that will be supportive for the organiser to look
effective. For example, one of the main roles of an effective event organiser
is to make sure that everything is organized and prepared for the event, like
the venue of the event, so the organiser would need to consider the
capacity of the venue, by looking how many people will be attending the
event, so there won’t be any issues with the spaces for anyone or the event
organiser would need to find out the fact if the event will be indoor or
outdoor, so if the event would be outdoors, the organiser would need to
consider, what the weather will be like, at that certain day. The effective
event organiser would also need to consider the location of the event, so
does the event take place in the central part of the city or it’s going to be
staged in the suburbs and how long would it take, for the attendees to get
there. The other important role that an effective event organiser would
need to have is making sure that everything meets the current legal
requirements, as it would be a major part of the event, in order to make
sure that all the attendees stay safe and healthy. An effective event
organiser would need to make sure that safety is one of the main priorities,
as the attendees should not be under any danger, during the event and
order to prevent it, the event organiser would need to make sure that, all
the attendees of the event are on the guestlist, in order to make sure, that
no strangers trying to get into the event and put the risk on the other
attendees. When the effective event organiser considers the current legal
requirements, it would be important, if the organiser manages to check the
food diary requirements of the attendees, as some of them, might have
allergies for the certain food and the priority in that aspect for the event
organiser would be to control that diary food gets labelled, so the attendees
could see that they can have that certain food, in order to avoid allergy
poison of the attendees. The other current legal requirement that the
effective event organiser would need to consider is the age restriction, as if
it would be a birthday event for children, the effective event organiser
would need to make sure, that there won’t be any products that are 18+,
such as alcohol, as alcohol is prohibited for people that are underaged,
meaning that the event organiser would need to make sure that there is no
,alcohol, in order to make sure that the children not going to be in danger to
consume it, so the event organiser will be able to avoid the trouble with
their parents. The other role of an effective event organiser is setting up
organisational procedures. When the event organiser sets up the
organisational procedures, it means that the organiser prepares everything
for the event, the policies, the risk assessment, in order to make sure that
everything will be going well for the event. The event organiser might set up
some policies for the event, such as not smoking inside the venue, as some
of the attendees might not be happy with seeing people smoking inside, in
order to avoid the conflict between attendees. When the event organiser
makes organisational procedures, it also includes the security checks, as
when people will start coming into the event, it is important making sure
that everyone on the list, in order to avoid the risks. When the event
organiser makes organisational procedures, it is important to have a
contingency plan for the event, as there always might be an emergency
during the event, so it will be important for the event organiser to plan it,
prior the event, what will allow the event organiser to adapt quickly, if that
will be the case.

well and makes sure, that attention gets paid all the time on each aspect,
like location and venue, as the event organiser would need to make sure
that most suitable venue gets picked, in order to meet the client’s needs.
When the event organiser shows the organisational skills, the organiser
needs to make sure, that everything is going in the productive way, in order
to be able to move on forward quicker. The organisational skills are also
important when you are considering the location of the event, as you would
need to know, which location of the event would be the best, so an effective
event organiser would need to consider that as well. One of the most
important factors that event organiser needs to consider is catering staff, as
they would be helping during the event while serving the food for example
and making sure that everyone is getting served, so it is also important at
the proportion of attendees to the catering staff.

If an event organiser wants to be recognized as an effective event organiser,
it would be essential if the organiser has abilities to use the problem-solving
skills. There always might be a situation where issue occurred, prior or
during the event and the event organiser should be able to handle that, in
order to make sure that event goes as planned. The example of the issues
that might occur is that the catering staff did not turn up, meaning that the
event organiser would need to find a solution in the short period of time, in
order to make sure that event can still go ahead, without any further
problems. There also might be an issue during the event such as bad
weather, so for example if the event getting staged outdoors and suddenly
the weather turns out to be bad, the event organiser would need to have an
idea what to do with all the guests, in order to make sure that event carry's
on as it did before, in order to avoid the cancellation of it. If the event
organiser able to handle issues like that and able to adapt to the problems
quickly by using such skills, it will allow the organiser to be recognized as an
effective event organiser.
Time management skills
Being an event organiser means that you have to make sure that you always
being productive and quick and in order to make sure that you are capable
to do it, they would have to gain time management skills and use this skill in
the right way. When the event organiser plans the event, the organiser
needs to consider all the timing, while planning the event during the event
and after. The organiser would firstly need to consider the most suitable
time for staging the event, so if it would be a wedding for example, it would
be important firstly to agree on the date, so the event organiser starts
brainstorming the idea of what is going to happen after. It is also important
that event organiser makes sure that event starts and finishes on time, so
there will not be any delays, what might lead to complaints from the guests,
which are going to be directed towards the organiser. In order to be able to
have a high standard, time management skill, the organiser always needs to
check the procedures of the event and that everything goes as planned.

Negotiation skills are essential for any type of job, but especially for an
event organiser, that wants to be recognised as an effective event organiser.
