The Print Company is a company based in Kimberly that specialises in mass printing and design of flyers, business
cards and all other printing requirements. The company currently employs 57 employees from different backgrounds,
each responsible for different tasks.

1.1 The HR staff within the company are responsible for ensuring good company-wide communication flows to
and from employees. Communication is the glue that binds various elements, coordinates activities, allows people
to work together and produce results.
Discuss any six (6) methods of communication that can be implemented within the company. (12)

1. New employee orientation
The role HR plays in new employee orientation is crucial because HR will explain the new employee’s role, policies,
procedures and rules. HR will also explain the benefits - such as health and holiday - and this sets the tone for future
participation and involvement
2. Bulletin boards
Electronic bulletin boards are becoming very popular, they are mostly used for general communication such as
changes in policies and personal news such as marriages and births
3. Communication meetings
Top management can hold open meetings with small groups of employees to answer questions, and also provide
employees with the opportunity to raise concerns on their part. This will make employees feel that management has
a sincere interest in their concerns and is an excellent way of “upwards communication”
4. Newsletters
With today’s technology it’s convenient to use computers and emails to communicate. A company may choose to
use a newsletter to explain and promote organisational and industry-wide changes
5. Employee handbooks
A well written up-to-date handbook that can be used for informing employees of policies, such as the health & safety
policy, certain HR policies such as leave and holiday benefits as well as sick leave. The company can also include it’s
vision and mission statement
6. Suggestion programmes
A suggestion box, even though it is considered a joke because of employee’s scepticism and management’s lack of
interest, this is still a good way to promote “upwards communication”
7. Complain procedures
A critical communication need is to provide employees with a safe environment where they feel comfortable
reporting any unethical or illegal acts (whistle blowing)

1.2 Khaleel is the HR manager at the Print Company and he has realised that his company has grown significantly in
the last 12 months. They have hired 12 new staff members and they have signed three new contracts with
corporate clients. Khaleel has decided to implement an HRIS system to streamline all HR information and reduce
HR administration.
