Client Brief
16 College students- aged 16-19- contacted BBT Travel to arrange their holiday
representative’s event. The student’s objective for the event is to encourage attendees
to purchase excursions by providing them with information and entertainment. The client
has suggested a rough date for the event- 20th March- 7th May. They suggested to hold
the event on a Wednesday. However, after considering Easter Holidays, Friday 8th May
Bank Holiday they have decided to hold the event on either Wednesday 22nd April or
Wednesday 29th April.

The students have a rough time for their event- based on delegates work schedules,
young children, etc. Therefore, the event will last approximately 2 hours 30 minutes from
18:30-21:00.

The target market are parents/carers and children. There are 29 members of staff, who
will each invite approximately 2 guests. Therefore, the venue should have a capacity of
at least 90 people. The minimum delegate count will be 30- if no one attends the event.
However, the highest delegate count would be 110.

The dress code for the event is smart casual. Therefore, the students would like the
venue to be professional with minimal decorations- to save time and money. Moreover,
the venue needs to have tables to ensure that delegates have somewhere to sit and eat.

The students have requested a venue with specific facilities, e.g. a kitchen so they do not
have to source an external company to provide food, extra floor space for entertainment,
and Wi-Fi so they can access the internet for their presentations. A bar would be
desirable, but not necessary. Holiday Representatives do not require a stage- as they
only require floor space- exhibition space or theatre style seating. However, the students
would like a low budget of approximately £1600.

To raise money, the students have chosen to hold a charity raffle- the charity will be
chosen by the principal.
