P3 Selection and recruitment documents
Introduction
In this document I will be explaining the relevant documents that are needed during the selection
and recruitment process. These include: job advertisements, job descriptions, person specifications,
application forms, personal CVs and letter of applications.
Job Advertisement
This document is either an electronic or printed post which makes public the company’s intention to
hire someone for a particular role 1. They can be placed on job websites such as Indeed and Reed or
on notice boards in job centres. It includes the following: job title, location, pay, job duties,
qualifications, benefits and how to apply. This information gives interested candidates an overview
of the essentials and desirables of the job.

Job Description
Following the completion of the job analysis, a job description is written out based upon the findings
of that report. It provides a broad overview of the role and includes brief information about the
responsibilities, duties, purpose, working conditions and scope of the job. Also included is the job
title and the line manager, who he/she would report to. They form part of the job specification. 2

Person Specification
This document lays out the skills, training, qualifications and experience a candidate must have to
complete the tasks of that role and to be eligible for that position3. These can be divided into the
following categories - essential and desirable - and can include personal characteristics. Evidence
against this specification can be verified through the job application, references, the interview and
activities/presentations.

Application Form
When someone is interested in a role, they fill out this form to notify the employer that they are
interested in the role. It can take either an online form or paper format and asks for person
information such as their name, contact details, address, previous experience and qualifications. 4 A
candidates’ CV and/or letter of application is often used to accompany an application.

CV
This document is created by the applicant to summarise their experience and education5 and is
organised in chronological order. Typically, it is divided into: personal statement, skills, previous
employment, education and achievements. Contact information - such as mobile number, email and
address – is also included, usually at the top.

Letter of Application
Also called a ‘cover letter’, this document is sent with a CV to provide the employer extra
information about your suitability for the role and consists of information regarding a candidate’s
skills and work experience. It can also be used to explain why someone is interested in that
particular role and which of their skills would be most transferable to the role. Additional
information includes the position you are applying, as this shows they have done research into the
role, and why you should be selected for an interview ahead of others.6
