Roles of an event planner
The role of an event planner is someone who organises what will happen during the event.
An event planner has 7 roles to ensure the event goes smoothly and that it's successful.
Venue
A venue is a particularly important role, you will always need a venue when you plan an
event. A venue sets the scene for the type of event that is going to happen, and it will
influence whether people will want to attend or not. Without a venue you cannot do the
other 6 roles. The venue is the first thing you think about before thinking about the other 6
roles, for example location. You can hire venues internally or externally, for example an
external venue could be a hotel or a conference room etc. An internal venue could be your
home or your garden. Checking the venue facilities are especially important as you want to
know if you want to have different facilities shared or exclusive to just some people or if
you want additional facilities, for example accommodation depending on the event. So, if
you were going to choose a conference room you need to know what facilities they are
going to provide for you beforehand, so know if there will be pens, paper, chairs etc. You
,would need food as well ready as there will be cooperate people coming, and it also might
be a long event, and this is vital to have.
Additionally, if you hire a hotel you share with other people, but if you want it private, you
must book in advance as you might not be sure about its availability. So, it is convenient on
the day. Furthermore, you must check the availability and pricing because without
checking these things about a few months before you will be stressed out near to the time,
so it's very important to check the availability. As an event planner you need to know how
available venues can be and what your backup plans are. Moreover, pricing for the venue is
also very important as you want to know what the people’s offer for budget is as an event
planner can optimise bookings and attendance. Size of venue should be considered as
seat has a substantial influence on the event. For example, smaller venues may be able to
offer a relaxed and friendly atmosphere if less people attend it. You should be also as an
event planner knowing how many people can sit or stand in the event.
Moving onto another crucial point that should be taken to considered which is for the
people attending any ethical or belief should be taken into consideration for example it
would be inappropriate to have an event for vegetarian in a location where the main of the
activity is production of selling meat or fish.
Location
, Picking the location of the venue is also equally important as having a great venue is one
thing but you also need to know about the location. The location of the venue will affect the
success of the event. There are different elements within the location, for example target
market and type of people should influence the location. Without the location you cannot
have a good venue or the event itself. So, it is really important to know the location of your
venue beforehand so everything can go smoothly and successfully as it is already a lot of
stress for an event planner. You need to know if the location is accessible, if people are
coming by car, is there enough parking space for the attendees? All these questions should
be answered positively so that the event can happen. How will the attendees travel here?
Is the traffic here decent if they travel by bus, car etc.? Is there a bus stop nearby if they
travel by bus? So, knowing the type of people affects the location as the organiser needs to
pick the location based on place so people who are leading the event will have the same
distance travelling as the people coming for the event as an attendee.
Furthermore, the area of the location should also be checked to see how safe it'll be if the
area of the place is dangerous, and this stuff should be checked beforehand as you do not
want any distraction. Moving on, if the event is linked to an activity that requires specific
facilities, then the location needs to have that. Supplies are available at certain times of
the year or months and some supplies can only be cheaper at some times. Larger events
need more planning, and this is vital because they will require some other facilities, for
example cash machines, first aid etc.
Catering
