P5: Explain factors that need to be considered when producing a detailed plan for
the proposed event
Aims and Objectives
An aim for our event we have decided as a group is to raise money for charity. We have
decided to go for UNICEF as our chosen charity, we want to raise £100 and make more
after the 4 hours of time for the event. Knowing the amount of time we have for this event,
will make sure we ensure ourselves to we try our hardest during the event to hit our aims
and make sure we can make our event as successful as possible. Furthermore, we as a
group want to make sure we hit our aim by making our event unique. Since our event is a
jewellery stand it will be different since the common ideas were to do with food and other
ideas so more people may show their interest on it so that people will spend their money
and attend and participate in our event making there be more profit and more goes to
charity. Aswell as this, our event can be done within the budget of £20 so therefore, we
won't need to preferably spend more money on our event but stick to the budgets given
and we will still make a good amount of money and most likely be able to hit our first aim.
An aim for our event we have decided as a group is to raise money for charity. We have
decided to go for UNICEF as our chosen charity, we want to raise £100 during the 4 hours
of time for the event. Knowing the amount of time we have for this event, will make sure
we ensure ourselves to we try our hardest during the event to hit our aims and make sure
we can make our event as successful as possible. Furthermore, we as a group want to
make sure we hit our aim by making our event unique. Since our jewellery is based on
jewellery more people will how their interest into it making there be higher sales.
Another aim we have chosen to do for our event is to spread awareness for the chosen
charity we have selected which is UNICEF. It's good to spread awareness about our
chosen charity as it will help people to be more educated on why we have chosen this
charity and how the charity will benefit from the money given towards the charity.
Moreover, we as a group want to hit this aim and make sure by the end of the event people
have at least some knowledge about UNICEF before leaving this will benefit us since we
will know if we have hit all our aims and objectives for event to make sure our event has
been successful. We will educate people through small talks and handouts so that we
can hit our aim. Additionally, people can also donate extra for the charity so that we raise
,more, and the charity can benefit. As we are doing a jewellery stall, we can get a lot of
sales coming because jewellery is a popular choice for people meaning more money can
go towards charity.

Table analysis
From Leyton Sixth Form College, we were given £20 to spend in total however we are also
spending money from our own budget. From our own budget we are spending around
about £60 on all the items that required to be bought but with the contribution of the £20
from the college as well. The table has different sections on the table: the place the item
was bought from, the quantity of items we are getting, the cost of the pack, how much
were selling for and expected revenue.
, As we are doing a jewellery event, there are different types of jewellery we need. We
thought since we had to change our event idea the fastest option to get the supply was
amazon as Furquaan had prime and it was a fast delivery service compared to other
services. Our group looked at getting the best quantity to the best price on amazon and
as it shows on table it shows jewellery coming in big packs for cheaper prices.
The price and expected revenue show that the price we will be selling each jewellery
piece for, and the expected revenue shows how much revenue we can make from using
the price of how much we will selling the products at. The gold rings will be sold at 50p
each and if sold we would make £11 in total for that. We are selling the van Cleef bracelets
for £3 each and we expect that we will make £36 if everything sells from that. Lastly, we
are selling the stainless-steel rings for £1.50 each and expected revenues comes to £48
in total for that. In total we expected to make a revenue of £100.
Location and Physical resources
Our event is going to be located at Leytonstone Sixth Form College the address being
Essex Road, London E10 6EQ. Our event will be done on the street (the main hall of the
college) since it is the largest area, and we can get more customers as the street is the
central part of the college and lots of people will go past. There are many easy accesses
available to facilities that are required for our customers such as nearby toilets, free WIFI
(provided by the college) etc. For the safety of our event, we will most likely have at least
one security guard at the event just in case something happens, and the security guard
can deal with it the safest way possible. Therefore, some sort of security can ensure that
we as an event organiser can give our customers the safest and most enjoyable event as
possible, as we will together a group give it our best to make it successful. There is car
park already in the front of the college, however since our event will be done within the
college, we won't need to worry about car parking since there is a lot available inside and
out the college. Our group as event organisers plan to come in early to set up our event
and get it prepared so there isn’t any stress needed. We will plan to come in around 9:45
am – 10:00 am to get our event ready and set up. In this period, we will also do small
advertising around the college before we start our event so that people can have an idea
about our event so that in their free time, they can go past us and have a look.
Insurance aspect
Insurance is designed to help protect you from finical loss as well as ensue you are
complying with the law. Our teachers have told us that the venue so our college has
already have been covered with insurance this is good as we don't have to stress about
finding out if a venue has insurance or not, therefore we can focus on other things and go
forward with the event. The college will be responsible if something was to happen
however as event organiser, we will be responsible for small problems such as if one of
our team members don't turn up what can we do and who will take on that role. We will
make sure that any issue that occurs it will be dealt with appropriately. As well as that we
will have a few tables for our event to show all the jewellery and items we will be selling
but we will have to make sure that we place our tables where no one can have an accident
