Unit 4 Managing an event - Assignment 1
Explain the role and skills required to be an effective
events planner.
In this task, I will be explaining the roles and skills required to be an effective event
planner. To be successful in event planning, it is important to have certain skills and
abilities which can help one become an effective event planner.
Skills required to be an effective event planner.
An effective event planner must simply know how to handle things when planning an
event because successful events need a great deal of planning and organisation
skills. To be an effective event organiser you should be perfect in every part of the
event and also be a team leader and worker which means you must be able to
communicate with others and demonstrate that you are a well-organised event
planner who wants to succeed.
An event organizer's problem-solving skills are important because they must quickly
handle any problems about last-minute issues. The event organiser must be able to
handle their team members problems and fix them while remaining cool. If anything
goes wrong during an event, the organiser must be able to think rapidly to figure out
how to correct it before the event is disrupted. For example, if there is a problem with
playing a video or sounds connected to a computer and the people are unable to
hear any sound from the speaker or the screen is blank, the event planner must
understand how to fix the problem quickly.
Time management skills are essential, as ineffective time management could have
an impact on the entire event. Ineffective time management can cause the event
planner and the team members around them to get stressed and frustrated. An event
organiser is normally active in duties that have been assigned to them which must be
completed before the deadline, this demonstrates that they can finish jobs before the
deadline. This isn't always easy because event preparation requires a lot of work and
research. Therefore, time management is a critical skill that every event organiser
needs to have to be an effective event planner.
Negotiation skills are also essential because they require the understanding to
resolve any disagreements with a variety of people. The event planner needs to
negotiate with people and reach an agreement without arguing since they show your
ability to reach agreements with other individuals and persuade them of your point of
view.
Communication skills are a very necessary skill in organising a successful event
because ideas must be properly communicated by the event organiser with the team

to make the event successful. This is to ensure that the team understands exactly
what they are responsible for which allows them to perform tasks on schedule. When
it comes to doing anything, communication skills are critical as they allow you to
express yourself and without being able to communicate you will not be able to get
anywhere because people will be confused to work with you.
Interpersonal skills are the experiences that we apply daily while communicating and
interacting with other people. (1) Having good interpersonal skills means that the
event organiser is confident which confirms you can listen well and work as a team
with different people.
Different roles required to be an effective event planner
The first stage of planning an event is to select a suitable venue, which is an event
organizer's primary task. With details in mind about what type of building, space, and
facilities are required for an event to take place. It is important to select a suitable
venue that is appropriate for the type of event the organiser is attempting to plan
because this sets the expression for the type of event that will take place and has an
impact on whether people will attend or not. (2) For example, if an event planner is
planning a wedding, the venue must be enough for the number of people who will be
attending the event because if there are too many people the venue will become too
crowded which will be causing people to feel uncomfortable or fighting to break out
due to annoyed people. The sort of venue the event planner is searching for differs
as some venues indicate the amount to hire while others demand a first deposit or
renters to sign a contract that makes them responsible for any damages or anything
that occurs during the event.
People who have been invited to an organised event would prefer to travel within a
fair distance from their homes because this reduces the number of people who will
attend the event as people would prefer to travel to a location that is familiar and
safer rather than one that is unfamiliar and unsafe. A professional event organiser is
in charge of investigating the target market and selecting the most appropriate site
for their event. For example, if the event is formal the event organiser must pick a
site that is within driving distance of where people can travel and has a parking area
as the formal event is likely to be attended by people who are wealthy and drive
expensive vehicles.
Catering is also an important aspect when organising an event. Catering is important
when planning an event because its main responsibility is to cater to the people who
have attended the specific event by providing various types of food, drinks, and
managing the staff and chefs responsible for the food. Some carters can provide in-
house catering and outside catering services to bring to a venue. One major feature
that caterers must consider is that a small percentage of participants may have
concerns, resulting in them being unable to consume the food supplied since it may
