Introduction
I have been asked to implement a pilot cloud-based collaboration solution for
a small IT department in the company I have recently joined. It is
investigating cloud solutions to boost productivity, teamwork, and scalability.
In this assignment I will write a report that allows the collaboration system to
allow 5 people to have cloud storage which will be provided by the system,
allowing easy document, spreadsheet collaboration and calendar
appointment sharing because the division in charge of writing technical
guides for different products is going to switch to a cloud-based collaborative
platform. They will be able to access this through a variety of mobile
operating systems and desktop browsers, that will guarantee compatibility
across different devices. I will be evaluating how well cloud technologies

support creativity, increase productivity and teamwork, and creating the way
for long-term success and growth is the main objective.

Gantt chart




Smartsheet allows businesses to effectively scale a project from start to
finish. For my Gantt chart I used Smartsheet to create the timeline for
everyone amend their roles

The Gantt chart for the implementation of a cloud-based collaboration
solution consists of several tasks, each with a specific duration and progress.
The timeline spans eight weeks, with each task's bar representing the
duration of each task. The progress of each task is visually indicated by the

shading of the bar, with completed tasks being fully shaded and in progress
tasks partially shaded.

The requirements analysis task is scheduled to be completed in Week 1,
focusing on gathering and analyzing the client's needs to define project
requirements. The team will then conduct a platform evaluation in Weeks 1
and 2, researching and evaluating different cloud collaboration platforms.
The configuration of cloud storage and cloud calendar tasks are scheduled
for Weeks 2 and 3, respectively. Testing is scheduled for Weeks 3 and 5,
ensuring that the solution meets project requirements. User training is
scheduled for Weeks 5 and 6, focusing on how to effectively use new
collaboration tools. The solution will be deployed to a small department for
pilot testing and feedback. Regular monitoring and maintenance are planned
for Weeks 7 and 8, ensuring smooth operation of the solution. Finally,
feedback and improvement are scheduled for Weeks 7 and 8, involving
gathering user input and making necessary improvements to the solution.

To manage a project, I will divide it into multiple sections and set a
maximum of 14 days (about 2 weeks) for most phases using a Gantt chart.
To guarantee effective communication, I will identify and personally contact
key stakeholders, such as project managers and team members. The order
of tasks and their relationships are depicted by the chart's arrows, or
dependencies, and are essential for effective planning and management.

The "Initial Design" and "Optimized Design" stages are prerequisites for the
"Implementation of the Design" stage.

Prior to the solution being made available to end users, the "Testing" phase
is essential for identifying and resolving issues. The completed solution is
compared to the project objectives and client's requirements in the
"Justification and Evaluation" process.

The arrows on the Gantt chart act as visual cues linking the many project
phases, making it possible to manage projects in an orderly and systematic
manner. The final design's complexity dictates the testing and optimization
phases, and the complexity directly affects the day of implementation. In the
last stage of testing, the cloud-based system is fine-tuned to make sure it
complies with the company's requirements and is ready for reviews and
input.

The need to comprehend the client's requirements prior to proceeding with
the "Initial Design" stage is underscored by the author. The "Initial Design"
must be finished before moving on to the "Feedback and Review" phase,
highlighting the iterative nature of the design process and the requirement
for continuous improvement. The "Initial Design" and the "Implementation of
the Design" stages are interdependent.

From the above screenshot you will see my initial folder plan for the cloud-
based system. The original Google drive folder structure was created to
make it easier to efficiently organize and handle a variety of data types
involving employees and shared documents. More specialized subfolders
were stored inside each top-level folder, creating an organized and user-
friendly storage system.

To access Google Drive for business, we will create Google accounts.

With its reasonable prices for collaboration features and lots of storage
space, Google Drive is a great option for small businesses. Its user-friendly
interface makes file sharing, access, and storage easier, fostering productive
teamwork.
