P4 – Event Proposal
Brief
The main objective for this event is to provide entertainment including music and dancing and also
offer students an opportunity to celebrate new beginnings with each other whilst they say goodbye
to college, the event is for all three Tresham colleges another objective is to socialise and meet new
people of similar age; due to this, this event is not open to the general public and is dedicated
specifically for Tresham college students who are in their final year of study and therefore the target
market is 17-20 year old Tresham students. We have a budget of £5000 and we will require a large
performance area that can accommodate a prom style party which will also provide food and drink.
The event will take place on Saturday the 29th of June 2019 at 7:30pm, we are looking for around
150-160 to attend.


Format of Event (Conference, Event):
I have decided to create an event as the event I will be proposing is a prom style party like the brief
requested and a conference or exhibition wouldn’t be suitable for this. This will therefore help me to
meet my objectives such as entertainment and socialising as I wouldn’t be able to hold a party at a
conference or exhibition as it simply wouldn’t be suitable.

Venue:
The event will be held at Kettering park hotel and I have chosen this because it can accommodate a large
prom style party holding around 160 guests, the hotel also has its own restaurant, bar and outdoor area
onsite which means guests can buy food and drinks or go outdoors to get fresh air if they get too hot
inside. This links with my brief because the chosen venue provides all the facilities that are needed for
this event to be successful and more. The venue is also easily accessible to students as it is nearby many
roads and there is also a bus stop nearby and by having the venue in Kettering it means it’s in the middle
of the three colleges making the journey similar for both colleges who aren’t in Kettering. Moreover the
venue is sophisticated and posh meaning it is suitable for a formal party and this will also help to attract
more customers because it offers something different.

Facilities to be used:
We will use the accommodation the hotel provides as some guests may choose to stay overnight
especially those from Bedford Tresham as it is further away and getting home may not be easy, guests
may also choose to get ready at the hotel rooms. Furthermore, those who are booking a room may
choose to also use the spa or gym before or after the event. This links with my brief because the venue
has all the necessary facilities such as toilets which are needed throughout the event, a car park, a
restaurant and a bar for guests to order food and drinks if they wish.

Date and Time:
The event will take place on Saturday 29th June beginning at 7:30pm and finishing at 12:00am. I have
chosen to hold the event at the end of June by this time everyone will have finished college and will be on
their summer holiday making it suitable for an end of college celebration which is what my event will be. I
have also decided to hold the event on a Saturday as this is the most common and popular day to go out
in the evening for party/celebration and therefore I thought this would be the most suitable date for
everyone. On Saturday more things will be open in the evening as well which means that students can go
out after the event finishes for example to a restaurant, bar, pub or nightclub to continue the party. The
event will begin at 7:30pm
