P7 – Carry out follow-up actvites afer a business event




For any event, whether it’s large or small there are many actvites that will be required once the
event has been accomplished. This would consist of communicatng with sports hall staf, rafe
entries as well as conductng analysis about the basketball event.
As part of these actvites we would communicate with the winner of the rafe with the contact
email/number they gave to us. As part of our communicaton system we will inform the winner of
rafe of the pri e they have won as well as how to claim the pri e to finnd the right date and tme
appropriate for all partes to hand over the pri e. This can all be done electronically depending on
the contact media source they provided us with weather that a phone number or email address.
Not only will we be required to contact the winner of the rafe but also the sports hall staf. e will
be asked to give them a feedback form to see where they can improve for future events. As part of
our contract agreement we will be asked to return any equipment that were used in the event which
include speakers, aux cord, basketball etc. For this to happen we will return these assets to the
sports hall recepton and speak to the employee behind the desk of what went well and what could
be beter as well as the returning of the resources.
Another actvity that would be required is the analysis and evaluaton of the event. During out
basketball shootout event, we evaluated the success of the event through several diferent
methods, including writen surveys and questonnaires which are given out to the partcipants of
the event. Mat and Dionne were chosen to give the surveys to the partcipants and to ensure they
answer correctly and do not write ofensive answers. In additon to the surveys and
questonnaires which were completed by partcipants of the event, we also had myself, Adrian and
Alex talking to the partcipants and writng down what they thought of the event, and if they
didn’t take part, what could be done to infuence them to take part in the event. Mo and Soban
analysed the results we brought to them and decided whether the informaton was real or fake,
with the fake informaton writen down and put to one side to ensure that the informaton did not
taint the feedback we gained from other partcipants.
To be able to complete the event, a number of diferent materials needed to be handed out to the
group. This included a price list, so that the whole group know the price of the event, as well as
how many tckets are given for each amount of money, rafe tckets to show the customers so
that they can identfy how many they wish to purchase. This is also used so that the customers can
purchase rafe tckets from any member of staf, making it quicker for customers to purchase.
Health and safety informaton will have which can be seen in the event of an issue which may
cause damage to the health of someone or the venue. In additon, the surveys and questonnaires
had to be allocated to the group to ensure that everyone had the possibility of asking customers
for a review if Mat and Dionne were busy with other customers.
This would consist of the successes and failures of the event which will then lead to how we could
have improved the failures and the overall event. An example of this is a success being the number
of people that turned up which suggests we reached a wide audience in a selected limited
tmeframe although we struggled with our organisaton procedures. The issue with our procedure
was the limited income we received due to many people turning up without paying so therefore an
improvement we could do next tme is do have the paying desk by the door to make the paying desk
more visible and to ensure everyone who enters pay the correct amount for what they wish to
partake in; this way we would ensure we receive as much profint as possible in aid for Help for
Heroes. Another method is to publici e the event further to increase the number of delegates which
