M1: Analyse different types of business information and their
sources
Introduction
Communication is a way in which people get their message across to one
and other. There are several different types of communication methods
these are verbal, written, multimedia, web based and on screen. In this
piece of work I will be going through all of these various communication
methods. Communication is really important in business as it can help
build a team and make a business successful. Its employees communicate
correctly so there’s no misunderstanding within the work place as this
could cause confusion within the business. A business like HSFC will have
several departments which means that clear and effective communication
is vital for the business to run correctly.
Written Communication
Written communication can be defined through both formal methods and
informal methods. Many businesses use this type of communication as a
form of evidence that a piece of communication has been taken place and
agreed. If one party fails to acknowledge the written communication then
the writer can use the written document as evidence in the court of law.
Written communication can also take the form of informal communication
where people informally pass messages onto one another and is not used
as evidence if needed this usually takes the form of emails, memos and
faxes .HSFC use several type of written communication methods but I’m
going to be focusing on reports home to parents and emails.
Reports home to parents are an internal source of information as the
information is coming from the colleges systems which is inside a
business. A report will usually contain attendance and punctuality charts
and also the grades the student achieved in the past term. This
information is important because parents want to know how their
son/daughter are doing in college. If the student isn’t doing so good the
parents can find out through the reports and will be able to give them
extra help with their learning by maybe giving extra tuition which will help
the student increase their grade which will mean a better future for the
students and also if the student gets good grades due to this extra help it
will give people a good image of HSFC which will mean more parents will
want their son/daughter to go the college. There is a problem with using
letters because letters can be lost very easily which means it won’t reach
its location which causes problems as parents won’t be informed of their
students’ progress at college. This could be damaging to college as the
student won’t be able to get relevant help if they aren’t performing well at
college. The better the reputation of the college the more successful it
becomes.

Emails are the most preferred way of written communicating at HSFC as
all staff and students have access to this. Emails are used to communicate
student to staff or staff and staff. Emails in the college are internal and
external source of information, the reason for this is because information
is passed on within the college such as lessons being cancelled or
activities going on. The external source of information the college gains
from email communication is contacts from the local community about
students getting up to mischief within the area or if Ofsted need to give
information to the college they may contact them by email or a phone
call. Emails can be written formally and informally, but within the college
students and staff are told to communicate formally when using emails.
An example of when staff communicate with each other through email is
when they need information on whether a lesson has been cancelled
because of meeting in the gatehouse. The head of the department will
inform the teacher that her lesson has been cancelled due to an important
meeting in the gatehouse for the students or even if the head of the
business department decides to have a meeting with all the teacher in the
business department to discuss who’s performing well and what units they
will be teaching. Students and staff will communicate through email when
a teacher needs to give the student key information about an assignment
that will help the student get a better grade. Emails can easily be
accessed by any piece of technology whether it’s a phone or a computer,
emails also help the college run efficiently and helps get key information
across as quickly as possible. This helps make HSFC a better business
because if a student wasn’t in lesson and missed out on information
sheets etc. A teacher can easily send an email which will be delivered to
the student’s inbox in his/her email. This information can help the student
catch up easily and keep on track with their work. If we didn’t have emails
a student’s would have to wait until they got back to school to receive
information on what they’ve missed which can lead to bad grades and in
general bad grades will damage the colleges reputation. With emails you
can’t always be sure that the person has received it and it can also be
deleted by accident which means the information won’t reach its location.
Verbal Communication
To convey communication between two parties that informs one another
of information required to make a decision. Verbal communication can
also be used in one way dialogue to inform parties of changes within the
business, sales promotion and updating employees via training. Verbal
communication is the most popular way that people communicate with
one another, allowing both parties to hear and see the expression that is
being conveyed. With verbal communication I’m mostly going to be
focusing on a formal way of communicating at HSFC which is when a staff
member is talking to a student and an informal way of communicating at
HSFC which is when students talk to each other.
