Unit 4 Managing an Event – Planning in light of research
Assignment 2 of 3

pg. 1

,Introduction

Within this disquisition, I will be covering a wide range of areas involved within event planning and
management. This will range from giving examples of different types of events, explaining my team’s
idea for our event, discussing feasibility and tools we can use to increase the likelihood of success.

Different types of events

The first type of event there is an exhibition which is usually held in a large hall where business can give
information about their company, discuss new ideas or possibly even launch some new products. It is
usually attended by companies with strong competition because it allows for companies to see how
their competition’s audience reaction fairs with your own 1.

Next is a product launch which is when a company has a new product that is going to be introduced or
revealed to the market on a specific date and is usually built up by promotional material such as at
exhibitions with the intent to generate anticipation 2.

A trade show is an event that is designed to bring large communities together to display or discuss their
latest products. This can be held at multiple levels ranging from international companies attending to
much smaller local trade shows all of which are held at a venue of an appropriate size 3.

A shareholders meeting is a self-explanatory term that refers to when shareholders of a company will
meet with one another to discuss company performance, debentures etc. Most shareholder meetings
are held once a year to discuss the yearly performance of the company, but extraordinary meetings can
also be arranged if a shareholder with a particular number of shares wants to 4.

Press conferences is an event that is designed to help to distribute/inform the media and also answer
any sort of questions reporters have. Most of the time, a company will not hold a press conference and
will only do one when issues relating to public relations gains attraction and the company has to
respond5.

An awards evening is a type of event where a collection of different rewards is handed out and can be
for a variety of reasons such as acting, charity etc. This event can be planned by a wide variety of people
ranging from governments, schools or even a company 6

Team building is a tool or technique that is most commonly found within businesses or even schools
with the intent of helping to improve skills that utilise a team by participating in a variety of activities. It
can cover skills such as observation or communication and is supposed to help to bond teams together
to help them work more efficiently later in life 7.

, A seminar is a gathering of people with the purpose of wanting to discuss about a particular topic. It is
usually highly interactive, and seminars often have a guest speaker who will get attendees together to
further discuss or even debate suggested topics 8.

The final type of event is a conference which is a gathering of multiple people to discuss about a subject
and it is usually complicated with a convention, but the difference is that conferences specify about
innovating ideas and information sharing9.

Sports and recreation events – F1 Motorsports

Formula 1 (F1) is one of the biggest and most successful motorsport racing events across the globe and a
major contribution towards their success is the efficiency and management of the team involved in
organising the races. Although many of the races usually take place on designated F1 tracks such as the
Paul Richard circuit in France, there are instances where cities can become entire F1 circuits, and a
prime example was Marina Bay in Singapore. An article written by the BBC 10 covered the extensive and
tricky task that the F1 organisers had to face when converting Marina Bay into a ‘5.06km’ racetrack.
They were able to accomplish this with a’25,000’ staff workforce who had the responsibility of setting up
thousands of pieces of equipment such as creating concrete barriers, designating fences around the
track layout, a new ‘108,423m’ of cables, creating temporary bridges to divert the traffic flow away from
the racetrack, construct ticketing booths and portable toilets for when the spectators would eventually
arrive. By the time that the crew had finally finished, ‘4,395’ safety barriers and ‘10km’ of debris had
been installed and was ready for the race. Furthermore, a ‘polymer modified binder’ was also laid upon
the track surface to allow the F1 cars to gain ‘20%’ more traction than usual which was inspected and
tested thoroughly to ensure it was ready for the race. The reason why this is so important is because
even if one of these small details is missed out, it could cause serious harm towards one of the F1
drivers such as not having a safety barrier to take the impact if they were to crash. Therefore, by looking
at these successful factors it will allow me to improve my management skills when it comes to
organising and hosting my event which will be highly important as it reduces mistakes and allows for my
event to be ran smoothly and efficiently.

Sports and recreation Events - Olympic Games

The Olympic Games are a ‘quadrennial international multi-sport event’ 11 that is held within the winter
and the summer the latter being the more popular of the two 12. Like F1, the Olympics are not held in a
specific location but rather is translocated around the globe every four years such as the London 2012
Olympic Games and the Rio 2016 Olympic games. The reason why the Olympic Games are so successful
is not just because countries around the globe are competing against one another, but because of the
magnitude of organisation and preparation that is put into the event that makes it possible in the first
place. Unlike the F1 organisers who must account for a much smaller amount of people, 20 F1 drivers 13
