Introduction
The design and construction of the eKYC App for ABC Bank marks an important milestone in the bank’s strategy
for upcoming years. For the execution of this project, it is important that key messages are created and transmitted in
a timely fashion to all stakeholders according to their needs and their particular relationship with the project.

The eKYC Mobile App project is being developed by a small team; a minimalistic, yet robust communication
strategy, has been defined to guarantee that the project is being tracked properly, that progress and issues are
reported accurately and that all team members have the information they require to make decisions when needed.

The project manager and the project coordinator have put all the processes, tools and mechanisms for
communications management into this document, and it is mandatory that all team members and key stakeholders
read, review and apply these guidelines on a daily basis to guarantee a frictionless information flow.

, Communications Management Approach
The teams executing tasks for business analysis and software development will be using agile approaches. For the
project’s communications, it has been decided to reward agility over formality. The project has a very thin margin
for error and one of the main key factors for success is the flow of information between teams.

Our project has four main teams:

 Business Analysis Team
 Software Development Team
 Sales and Marketing Team
 Project Management Team

Each team has a leader, all the leaders are part of the project management committee, and the project manager is in
charge of both the committee and the project as a whole.

All teams have been located in close spaces allowing for rapid interaction and exchange of information,
nevertheless, the requirements log and issue log must be updated as often as necessary as these would be a crucial
part of the decisions taken during the weekly project review.

The project manager has empowered each leader to make decisions for their own team within a given set of
constraints and the project sequence of activities. Each leader is encouraged to empower their own team to do the
same and if decisions require a higher authority to be defined, the escalation process described later in this document
will be used.

For managing documents, this project will use a completely digital approach taking advantage of the Private Cloud
Shared Folder and Versioning Servers available within the bank that has been authorized and secured by the IT
Department. This will make information available 24x7 and every team member will have access to all the required
materials, documents and inputs.




Communications Management Constraints
Given the set of constraints around budget and time for this project, effective communication between all
stakeholders and the project team is key to the success of the project. The speed is communication is also crucial:
new findings or definitions from the business analysts will have an impact on the software development efforts.
Therefore, it is crucial to document, review and decide on any change to the requirements log.

Information Protection
At all times, project information must be kept in the official project repository and no personal versions of
completed documents are allowed to be copied or shared unless formally authorized by the Project Sponsor or
Project Manager. All documents, diagrams, models, code, script and any related project artifact will be kept under
