Introduction

In event management organisers will need many skills to ensure the clients
they are looking after have memorable experience. It is important to have
these skills in order to be a successful and effective event manager in a very
competitive market. In this assignment, these skills will be analysed to
evidence the most effective way to achieve success in this career.

Event management in the UK is a growth market as consumers and businesses
seek to organise events for many areas of interest for example a charity event
or a wedding or a business exhibition. The career opportunities to become a
specialist event organiser has grown with universities having degree courses on
the topic of event management allowing the skills to be developed and the
effectiveness of the event planner to be of a high standard at the beginning.




Roles of an event manager

The main role of a event organiser is to plan and organise the event and follow
it to its conclusion to ensure it has outstanding quality and ensuring there are
very few potential mistakes. Therefore, meeting the expectations of the
clients.

,The essential skills of an effective event organiser will be many if they are to
achieve a event that is seamless and enjoyable therefore, the event organiser
will need outstanding skills of planning, organising, communicating, time
management, negotiation and problem solving. These will be explored
throughout this assignment. If the event organiser has all of these skills they
will contribute to increased bookings for their venue or website and as such
add revenue to the organisation. Also, they will achieve a high quality
reputation for reliability and quality that will create positive feedback that will
achieve the interests of future bookings.

Effectively managing the bookings, employees and other resources will allow
the organiser to have an effective schedule to put into the plan that ensures
correct timings so that all the planned tasks are met on the deadline to avoid
confusion and ensure everything is done up to the best standards. It is
important that the organiser considers all health and safety aspects that will
need to be kept to the best standards by working and following all procedures.
This is important to ensure no one is hurt and that the food is presented clean
and fresh so there won’t be any food poisoning which could ultimately cause a
potential refund to occur in which money for the event is not processed and
contribute to a poor reputation.

The event organiser will be communicating effectively with all their key staff
and the clients on a regular basis. This will clearly set roles to staff so
productivity is at maximum performance. Also, the clients are informed
continuously. It is also the role of the organiser to be able to manage budgets
that ensures costs are controlled within the agreed budget with the clients to
ensure that profits targets are met.

It is also important that quality is maintained to the standards of the venue.
This ensures guests are value offered and feel captivated by the experience, If
this were to happen, the venue could benefit from future bookings from
guests. Therefore, it is an important role of the organiser to fully research all
the needs of the client before-hand and understand each aspect, For example:
if there is any traditional food, if there are food allergies or restrictions due to
religions and cultural understanding to ensure participants are included at all
times.

Communication skills

, An effective organiser will have outstanding communication skills therefore
ensuring there is clear communication at all times ensures there is an
understanding of each stage of the process to all parties involved. This skill
involves a degree of listening and then being able to ask relevant questions to
ensure all client needs are agreed. Then to inform staff in a meeting of the
agreed plan and agree timings. Communication is a two-way process and this
skill could enhance the client’s expectations or make them less desirable
therefore good communication skills will depend on the ability to inform
clearly by word, written or email. This lays down the foundation to the very
essence of a successful event. Communicating effectively with different
suppliers to negotiate pricing for certain products to meet revenue objectives
so there won’t be overcharges or unexpected issues which could cause delays
when time is a need of essence. Ensuring the specific food descriptions for
vegetarians or religious restrictions e.g. (kosher, halal etc.) so, all attendees
won’t be left out and will be satisfied.
Clients need to be updated with each procedure collectively to ensure there is
a good relationship with members and if there will be any requirements or
changes which can take place so they can be organised on time and
professionally.

General Management skills are essential attributes of an effective event
planner for example, such as time management is vital in ensuring suppliers
and staff are up to date with everything. By planning and making a to-do-list
this will enable you to keep track of tasks and remembering every situation.
Being flexible and allowing time and money for a margin error will ultimately
be beneficial to the business since they can change certain aspects which can
be easily fixed on time. If this were to happen the business can quickly move
on and focus on more important areas for improvement and development.
