P5 Provide Support for the running of an event
P6 Produce guideline for dealing with problems
In this report, as an event organiser I will be explain how I have been providing support for running
of Cheshire Oaks, producing a guideline for dealing with problems as well as carrying out follow-up
activities after Cheshire Oak business event.
In our event, there were not that many different activities since it was just a normal business event.
However, when we visited the event venue, the management of the Cheshire Oaks were able to give
us a business presentation as part of their Welcoming activity, as useful way to provide the
attendees with information to help them understand the background of the venue. During the
running of the event, we had not have group activities or workshops, since it was a business trip to a
shopping centre for the celebrating of the end of the course, we also did not have any sort of
manned stand as our event was not an exhibition or a conference. We had some sort of displays in
the presentation of Cheshire Oak’s management staff. The display is used to highlight their business
idea as well as promoting for their products and services to help them increase their sales.
Furthermore, we did not use digital technology to play DVDs or videos on a big screen as it was not
necessarily need to do to run our event.
During Cheshire Oaks event/trip, there was some support requirements have been in place to make
sure everything runs smoothly as possible. As an organiser, I have been asked my vice team
leader/secretary to take some notes during the event meetings and then written them up into
formal minutes. This is was essential part of our events as notes helped to understand how far we
are up to in term of the event progression and also identify any other requirement we might need to
review. In addition, we had have to provide our event delegated (attendees) with the correct papers
for the event such as the event programme (papers with details about the event place such map and
facilities), meeting’s agenda, as well as other legal papers such as permission slips for health and
safety reason. These different papers have been given to the delegates of the event in advance of
the event to ensure everybody receive a pack of information to understand the event becoming
coming to the event.
As an organiser, I had to do some researches in term of facilitates and location of Cheshire Oaks
Designer Outlet. This because I had to provide support for the delegates and help them to find their
ways and endures everything runs smoothly. Every attendees had received the correct information
about the different facilities within the place, such toilet and other shops around the place, as the
management of Cheshire Oaks shopping centre had provide as with a thirty-minute presentation
explaining their shopping centre in briefly. Also in term of help, the students (delegates) have a key
point of contact which were in the customer’s service of the shopping centres where delegates can
easily ask any question about the location and facilities. Moreover, I had record attendance as this is
an essential part that have to done for any business event. It is important as it is part of our health
and safety procedures as well as it provide me as an organiser how are attending the event and who
are not. Therefore, I had to produce a checklist for students attending including names, telephone
numbers and addresses. One of the students did not attend the event due to personal reasons, and
therefore recording attendance was a great method to ensure everybody attending the event as well
as ensure the health and safety of attendees.
Health, safety and security were one of the most important things that had to be considered by me
as an event organiser during the planning and running of the event. We had to produce as a risk
assessment for our event, including traveling, accidents, behaviour of attendees and weather. This
