Introduction
As a newly appointed member of the team, my task is to investigate the
existing ordering process, identify its shortcomings, and propose a
comprehensive plan for improvement and leveraging technology. This
involves engaging with the staff to understand the intricacies of the current
system, reviewing the attached order form, and subsequently developing an
annotated model of the existing process. The goal is to propose a change
management plan that aligns with the business requirements, making the
ordering process quick, error-free, and conducive to efficient communication.

The annotated diagram above depicts the company's current ordering
process for a customized bike. When a form is received from a client, it is
thoroughly reviewed to ensure the accuracy of the information before being
forwarded to the workshop manager. The bike's required components are
then examined in stock, and if there are inadequate quantities, additional
parts are created. The finished item is added to the shipping queue and
awaits payment from the buyer. The product is sent to the purchaser once
payment is received.
A process map or flowchart can be used to create a clear model for the
ordering process of custom-built racing bicycles. This model outlines the key
steps, decision points, and interactions involved in the current ordering
process. The process includes customer inquiry, initial consultation, order
form completion, submission, manual verification, confirmation and
payment, production planning, progress tracking, quality control, delivery

and customer communication, and customer feedback. However, the model
heavily relies on manual data entry and verification, informal communication
channels, and insufficient progress tracking and customer communication.
To organize the process, technology can be integrated, and specific
technological solutions can be proposed and evaluated for each stage of the
process.
The existing ordering procedure at a small firm specializing in specialized
racing bicycles is rudimentary and should be improved. A visually displayed
flowchart depicts the complete order process from start to finish,
emphasizing manual stages such as client consultation, paper order form
filling, manual verification, and record-keeping. Key steps involve
communication with the workshop, manual progress tracking, and quality
inspections. The diagram's sequential flow and visual clarity are intended to
offer stakeholders a thorough knowledge of the complexities of the current
process, emphasizing the lack of technology interventions. Each procedure
represents a manual step in the ordering process, adding to the underlying
