P1. Project Management Techniques
Defining and producing specififcation
This is the absolute first phase of the project
where the specification is produced. The purpose
of this stage is to identify the objectives and the
purpose of the project. Additionally, it also
confirms the parties that will be involved and
participate to the project and in which capacity
they will contribute, for example stakeholders
and customers. The specification helps to build
the first framework of a project, this gives everyone a general understanding of what
the project is about. This phase is important so that wrong ideas are excluded from
the project, it also helps to move on to the next stage which is requirements
gathering.
Requirements gathering
Requirements gathering is the second phase to follow in order to produce a
successful plan, after defining and producing the specification users have to gather
all requirements. The first question is how will the requirements be gathered? The
answer to this question can vary depending on the project. For example, if a large-
scale company wants to implement a new product or service, the requirements
could be gathered through a survey, this would allow the company to know the
various opinion and then choose the most voted. Requirements can also be gathered
through other methods such as meeting with all stakeholders which have the right to
take part in the project as they have partial ownership. After the method is clear, the
requirements can be gathered, it is important to know exactly what the client is
asking for as sometimes there might be more advantageous options but if it isn’t
what the client has asked for it will result in failure. Finally, when planning a project,
the requirements should be directly related to the final goals and objectives, this
leads to the next step which is actually planning the project.
Planning
Planning is one of the most crucially important phases of a project, after the
requirements are gathered this stage can begin taking place. In a successful plan
there are various aspects to be considered. Firstly, the plan should define the human
resources needed in order to complete the project, how many of them are needed
and what skills they bring to the project. Secondly, the planning stage has to include
costs and specific budgeting required, this is essential as if not done correctly it could
lead to not having enough resources or on the other hand wasting financial assets.
The budgeting plan should cover every single financial spending that will be made in
the project from paying the suppliers to assessing the salary of members of the

project. Additionally, there should be a communications plan, this should be put in
place in order to have effective communication throughput the parties involved in
the project, this plan sets out who will receive messages and instructions as well as
the type and communication methods that will be used. Finally, a complete plan
should include risk assessment at each
stage, this is to find out what could
possibly go wrong and to make sure
everything is being executed correctly.
Once all aspects of the projects are
defined and planned in order, the
development can move onto the next
stage which is designing.

Designing is the stage that comes
straight after planning, here all the
ideas are combined with the
requirements and the client needs,
after putting these aspects together the project design can take place. There are
features that must be included such as any specific requirements that the client
wants or those needed in order to deliver the project successfully. The designing
phase should be carried out by professional who have been contacted and assigned
tasks in the previous phases such as requirements gathering and project planning.
Designing is a vital process as it shapes the project and defines the manner in which
it will be executed, the designers of the project could have implement and offer a
range of designs to the client, and he would then have to pick the most suitable for
him. There are also other methods of designing a project such as giving the
requirements of the design to arrange o designers and picking the best design. Once
the final design is decided by consulting all the appropriate bodes such as the project
manager, the client and eventual stakeholders, the project can move onto the next
phase which is the implementation.
Implementation
The implementation stage comes after the design, this is the phase where everything
that was measured and planned is implemented in real life. There are a few aspects
to look at in the implementation stage, firstly, the implementation should be carried
out by professionals that know exactly what their designated task is. Secondly, the
implementation phase should be followed strictly as previously planned, this is
important as otherwise there could repercussions on the successfulness of the
project as well as delays in time. This could further lead to loss of time and money.
When implementing a project not everything goes as planned, sometimes certain
measurements, figures and aspects can change when the plan is implemented in real
life, in case this happens the project manager should hold a meeting with the client
and explain all the circumstances. Once the implementation phase is completed
safely, this stage is over and followed by the completion.
