Factors to consider when planning an event Key Factor 1 BUDGET Why is it important ? Why have we only got 20? What are we spending it on? Why is it important to not go over budget? Key Factor 2 - The Audience Why do we need to think about the audience – i.e. students – why are the activities we chose appropriate? What might not be appropriate? Key Factor 3 – Aims and Objectives Why is it important to set these – what are the objectives what are we actually trying to achieve? Key Factor 4 - Resources /facilities Why are these essential – have we got what we want – in an ideal world what else could we have What ‘generic’ things do we have and why are these important – e.g. wifi, smartboards etc Facilities – what do we actually have at college – toilets, canteen, car park etc – why are these things that we would need to consider? Key Factor 5 – Catering Why are refreshments important – why do we need to think of diet consideration s – what possible harm could people come to? Key Factor 6 Planning How did we plan – why did we need to plan – what are the advantages? What is contingency planning Key Factor 7 Communication Why is it important to communicate between teams – how can we communicate – snapchat email etc etc etc etc etc D2 Checklist Evaluate and justify feasibility plan, tools and budget and risks making any required contingency adjustments Here you will need to do your own research Title 1 Feasilbility plan What is one – how does it help planning and what are the disadvantages – WHAT ARE THE BENEFITS AND DRAWBACKS using one for our event Title 2 Gant Charts What are they and why did we do one – what are the advantages and disadvantages of them and how did they help to plan the event Title 3 – Planning Sorfware – Eventbrite What is it what are the advantages – how do they help when planning events – put in a a screenshot of Eventbrite and have a go Title 4 – Critical Path Analysis What is it VITAL – what is it and what are the advantages and disadvantages – how would this help with planning? Title 5 – Budget What are the advantages and disadvantages of budgeting – what ‘unexpected costs might we get? Title 6 Risk Assessment Why are these VITAL – what might happen if we didn’t have one and somebody was injured – what are the consequences if we don’t follow health and safety What are the advantages and disadvantages – how will this help us? Title 7 Contingency or BACKUP PLAN – WHAT IF? Very important – what is a contingency plan – what are the advantages and disadvantages – what benefits will this bring to the event What types of ‘what if’s apply to us
