Throughout a project’s lifecycle, the schedule is regularly updated or modified due to a range of aspects that
may affect the order or priority of tasks. For example, the client (teacher) may change the specification for
the website, potentially forcing the modification of the design or removal/addition of features on the
website – the schedule will need to be changed to reflect the new or removal of old task. Another aspect
that could have a change in schedule is the reports from team members, (or myself in this project) which
report the progress of task and the time they expect to finish depending on the man hours allocated to the
task. If a task is taking longer than expected or finished before deadline, then the schedule can be updated
to extend the task or bring the next task forward.
During the monitoring points in between task, the client will review the progress that has been made and
could potentially make corrections in what they would like to be changed, task may be added/removed
which affects the entire schedule by having to change the start/end date. New meetings may be added to
the schedule as the client may want to discuss where the project is up to at any time, in addition, issues
could arise that prevent aspects of the website are no longer plausible and must communicate with the
client to report the issue and consider alternative solutions.
A reason could also be that the client or users do not agree on the quality of the deliverable (the digital
portfolio/website) by disagreeing that it meets the user requirements and requesting additional work on
certain areas. This would require new or extensions onto task, and modifying the schedule entirely to
achieve the overall purpose of meeting the client’s satisfaction to gain a distinction in the unit, as well as
have the digital portfolio representing me professionally and best as possible.
It is very important to update the schedule continuously for a successful project by being as efficient as
possible by making the most out of effective time management to avoid wasting time, as during official
projects – time is money, and every team member will have to know specific details of time scales, updates,
and what is left to do. Below is an example of a blank schedule update form, along with two completed
forms that were used to change the schedule and show the project’s progress.
