Introduction: For this task, I will give an in-depth explanation of the importance of policies
and procedures to control the maintenance of computer systems. I will state the effect it
will have on a maintenance engineer as well as the consequences that could occur if the
policies/procedures weren’t followed. I will also include three examples to back my points
and conclude the task with a paragraph outlining my opinion on the impact of
policies/procedures on the business.
Importance of policies and procedure: A company may enforce a number of policies
and procedures and indicate how a particular activity should be carried out. Policies and
procedures evoke a sense of professionalism, stability, and assurance to both the staff
and the public. Clear guidance on how a day-to-day operation will be done and its effect
is vital as any uncertainty can cause an employee or the entire business to suffer as a
whole. A maintenance engineer’s role is quite technical and consists of numerous duties,
so therefore acknowledgment and compliance of every single policy/procedure reduce
the chances of getting into trouble. Below are some examples of how
policies/procedures significantly impact business performance, efficiency, and future
success.
Procurement Policy: A procurement is an excellent policy, especially for a maintenance
engineer. A procurement policy in an IT business is found ubiquitous around the world is
a key aspect in handling IT equipment. The policy may state the business can only
purchase from a specific manufacturer; this is important because it will make keeping
spare parts in stock easier as they will all be the same. If the procurement policy didn’t
exist, the engineers would have to keep a lot of different stock, which would cost them a
lot more, and they would need spares for any kind of system because downtime isn’t an
option. They will also have to devote more effort to carefully organizing the part inventory
in order to ensure that they can locate the parts they need as they are required. I found a
procurement policy document online, and the process of procuring goods is clearly
written and well organized. One of the guidelines is the IT department recommends
equipment suppliers. The guideline is there to improve the price and service of the
equipment supplier. This will mean orders will only go ahead if they are cost-effective
and if the service is more than satisfactory, meaning the product does not arrive late or
damaged. This is, of course, to enhance a maintenance engineer’s performance. Lastly,
another guideline states that extra security should be implemented, and this procedure
must be followed. This means adequate protection must be enabled. This could include
the use of anti-virus software to be installed on every single computer or pc. The reason
for this is a maintenance engineer role involves a lot of managing industry machinery,
and the threat of viruses and theft is common, and it is crucial security is very high.
Failure to abide by these guidelines can result in serious consequences. For this
example, I am using a document online which indicates the consequences of breaching
this policy. There is a disciplinary procedure there for anyone who does not follow the
rules. For this particular policy, a breach is handled by the relevant head of the
department. Breaching of this policy will be investigated and may result in legal
